This role will provide executive assistance to the US President inclusive of comprehensive, confidential and professional end to end administration support.
Your responsibilities:
  • Assists the US President with daily administrative duties and completes a broad variety of administrative tasks that include proactively managing an active, complex calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas, assisting in planning events and compiling documents for meetings.
  • Communicates directly and on behalf of the US President with JM CEO, GLT members, their Executive PA's and others on matters related to initiatives as directed.
  • Plans, coordinates and ensures the US President's schedule is followed and respected. Provides first point of contact for all stakeholders with the US President, creating win-win situations for direct access to the US President's time and office.
  • Organizes meetings and events, including arranging all associated logistics and pre-meeting preparation.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the US President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Works closely and effectively with the US President to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the US President updated.
  • Prepares and administers meeting documentation and materials, ensuring quality of inputs prior to meetings, supporting structured agendas, and, where required, produces and distributes minutes and post-meeting materials.
  • Prepares accurate, high quality external and internal correspondence, prepares reports and presentations.
  • Maintains a high level of confidentiality, working with legally privileged and GLT level information.
  • Arranges for relevant travel bookings and visa applications (where necessary), ensuring itineraries are time efficient and cost effective. Managing and mitigating any issues with travel plans where needed.
  • Will need the presence and gravitas required for dealing appropriately with high level external contacts, including senior customers, journalists, analysts, government personnel etc.
  • Analyzes ways of working and considers ways to increase efficiency in process and incorporating new ways of conducting responsibilities; embracing new technologies.
  • Collaborates with the CEO's PA, and other senior Corporate and Business PA's to ensure the level of service and support is consistent and of a high level across the company

Requirements for the role:
  • Excellent administration experience with previous experience providing Executive Support to a C-Suite level and/or multiple directors within a similar working environment
  • Demonstrable experience of complex diary management for multiple executive leaders
  • Have advanced knowledge of Microsoft Word, Outlook, Excel and PowerPoint
  • Detail oriented and the ability to work to high work standard with work happening on a global clock
  • Excellent organizational skills, with a flexible approach.
  • A proactive approach and the ability to USe initiative to drive positive outcomes.
  • Autonomy, and proven ability to plan, organize and to deliver high quality outputs within deadlines
  • Be confident, efficient, approachable and able to remain calm under pressure
  • Excellent communication skills, both written and verbal, with an ability to build strong working relationships with stakeholders across the business and externally
  • Exceptional interpersonal relationship skills with a customer service focus.
