Executive Assistant to the CFO
Summary:
The Executive Assistant provides executive support in a one-on-one working relationship, working in a hybrid environment of working with the CFO out of the company’s St. Paul office, as well as remotely. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CFO. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Roles and Responsibilities:
Executive Support
- Complete a broad variety of administrative tasks for the CFO including managing an active calendar of appointments and composing and preparing correspondence that is often of an urgent and confidential nature.
- Calendar and email management.
- Plan, coordinate, and ensure the CFO’s schedule is followed and respected. Provide a “gatekeeper" role, creating win-win situations for direct access to the CFO’s time.
- Communicate directly, and on behalf of the CFO with Construction/Engineering, Sales, Business Development, Project Development, People, and Legal teams on matters related to company initiatives and timelines.
- Provide a bridge for smooth communication between the CFO and external contacts.
- Work closely and effectively with the CFO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Prioritize conflicting needs, handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
- Lead daily/weekly meetings and be responsible for recording and tracking action items.
- Travel to local solar installation work sites to aid the President in the inspection of sites, supply inventory and delivery, and other duties as needed.

Work Environment:
This job operates remote or in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to stand; walk; sometimes be able to lift 20 pounds of equipment.
Position Type/Expected Hours of Work:
This is a full-time position and will require longer hours and frequent weekend work.
Travel:
Travel is primarily local during the business day, but may require travel to sites out of state.

Education and Experience Requirements:
- Bachelor's degree required
- 1 to 5 years of experience supporting a financial executive
- Skilled in Microsoft O365 (Outlook, Word, Excel, Power Point, and SharePoint)
- Proficient in Procore or similar construction management software
- Expert level written and verbal communication skills
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
Preferred Experience:
- An interest or experience working in Renewable Energy
- An interest or experience working in the Construction industry
- Experience working with Acumatica or similar ERP
- Experience working with Adobe Photoshop and Illustrator

Pay: $70,000.00 - $90,000.00 per year
