SUMMARY
TheExecutive Assistant to the Boardof Directors (“Asistente Ejecutiva del Consejo de Administracion”) schedules appointments, exchanging information with callers, handling correspondence, arranging meetings, and otherwise relieving executives of clerical work and minor administrative and business details.

ESSENTIAL DUTIES

  • Ideal for graduate students, this role enables efficient workload management and encourages productive academic use of downtime.
  • Handles incoming and outgoing mail, including email and faxes, while maintaining effective written communication with a high level of professionalism and clarity.
  • Excel in an environment where tasks can vary, and where top-notch work is required when needed.
  • Adapts seamlessly from a demanding Monday to Friday 9-5 schedule to provide support during personal family emergencies and smoothly transitions to a quiet office environment when the family is traveling.
  • Occasionally takes dictation and transcribes notes on a computer or transcribes from voice recordings.
  • Composes and types routine correspondence.
  • Technologically competent and extremely resourceful, especially in stressful times.
  • Organizes and maintains file system, and files correspondence and other records.
  • Book and manage travel arrangements for multiple individuals, paying meticulous attention to detail, ensuring clarity, and providing flawless travel plans.
  • Ability to transition from providing knowledgeable, professional opinions to “asking for help”.
  • Answers and screens incoming telephone calls and arranges conference calls.
  • On-call availability is important in the office Mon – Fri and some/occasional weeknights and weekends.
  • Ability to handle multiple family office business styles and personalities.
  • Ability to converse on current San Diego business topics and professionalism while addressing San Diego political figures,
  • Coordinates executives schedules, makes appointments, and arranges meetings, including agenda preparation and facility reservations.
  • At times is responsible for coordinating household management and personal household staffing and administrative needs.
  • Greets scheduled visitors and conducts to appropriate area or person.
  • Manages databases, conducts occasional research, compiles statistics, and maintains spreadsheet files.
  • Orders and maintains supplies, and arranges for equipment maintenance.
  • Understands that the position demands the highest level of integrity and confidentiality.
  • Work independently in a quiet environment, exhibiting self-motivation and the ability to excel in a role that may have variable workloads.
  • Anticipate and proactively address the needs and expectations of the owners.
Qualifications


QUALIFICATIONS

  • Bachelor's degree from four-year college or university or any equivalent. 
  • At least 4 years of relevant experience and/or training. 
  • A combination of experience, education, and/or training may be substituted for either requirement. 
  • Must be comfortable working with intermittent exposure to visiting dogs.
  • Proficiency in Microsoft Office Suite, including working on Outlook, Word, Excel, and PowerPoint.
  • Previous experience using and troubleshooting iPhones required.
  • Availability to work on weekends and holidays is required. 
  • Ability to always maintain a friendly, professional, team-oriented, positive demeanor and diplomatic attitude, especially under stress or challenges.
  • Ability to stand, kneel, squat for prolonged periods of time, up to and including, the entire shift and lift up to 25 lbs. 
  • The following position will be filled in accordance with the process set forth in California Labor Code Section 2810.8 and San Diego Municipal Code 311.0101 et. seq.
