Job Description
We are seeking an Executive Assistant to CEO to join our team! You will provide high-level administrative support for an Executive at our company.
The position of Executive Assistant for Southern Plastering Inc. in Memphis, Tennessee, requires someone with strong organizational, interpersonal, and communication skills. They must prioritize and perform multiple tasks seamlessly, employ attention to detail, and meet deadlines, all while providing excellent customer service. The candidate should possess a bachelor’s degree in business or a related field. A minimum of five (5) years of experience in a similar position could be substituted for education. Additionally, the following knowledge, skills, and abilities are necessary:
1. Confidentiality, credibility, and trust: This is paramount, as the qualified individual will be dealing with sensitive information such as financials, bidding and operational responsibilities.
2. Collaborative team player: The candidate must be able to effectively communicate and collaborate organizational goals while also motivating and empowering other team members to do the same, serving as a mentor for those who may require additional support in technology and other current business practices.
3. Strong organizational skills: The candidate must have strong organizational skills, demonstrating an ability to prioritize and perform multiple tasks will also overseeing the details and deadlines for the other team members.
4. Strong interpersonal and communication skills: The candidate must possess strong interpersonal and communication skills, emotional intelligence, maturity, and the ability to build relationships with the Senior Estimators and Operations Staff.
5. Bilingual: The candidate should preferably be bilingual in English and Spanish to communicate effectively with a diverse workforce.
6. Proficient in MS Office products: The candidate should demonstrate proficiency in MS Office products and a working level of willingness to learn Pipedrive (CRM - customer relations management), MS Project (Project Management software), and QuickBooks (Financial software). A solid background in accounting/financial principals is preferred.
7. Problem-solving and critical thinking abilities: The candidate must have organizational awareness, problem-solving, critical thinking, and crisis management abilities. They must also be flexible to manage change in a dynamic work environment. This includes the ability to demonstrate a calm demeanor and systematic approach to escalated situations.
8. Authorized to work in the United States: The candidate must be authorized to work in the United States, communicate in English (both written and verbal), and hold a valid state-issued driver’s license and current auto insurance.
9. Ability to work independently: The candidate must be a self-starter, and have the ability to work independently while preparing reports and presentations for the CEO. It is the intent of the CEO that there would be no need to micro-manage, rather a need for regular status meetings and an autonomous environment for the candidate.
10. Must be competent in using technology to the level that would enable the candidate to function as a point person regarding technological issues for the operations staff.
Overall, the Executive Assistant to the CEO must have diverse skills and abilities to coordinate all Marketing and Sales processes. They must also be able to prepare financial reports monthly and compare actual performance data vs. the forecasted plan using Financial Software (QuickBooks). A summary would be submitted to the CEO monthly, or more often as needed.
In summary, the Executive Assistant to the CEO is intended to assist in the daily oversight of the company operations and performance.
