Job Description
Currently, employees work 100% remotely. The company schedules periodic in-person group meetings. Our client will be reinstituting an in-person office workplace in Reston, VA, but has historically and will continue to provide flexibility for telecommuting based on the employee's specific circumstances.
- Sets and manages the daily schedules and calendars of company executives.
- Organizes meetings, including scheduling, sending reminders, and resolving scheduling conflicts.
- Makes business and personal travel arrangements for the Executives and employees for conferences and quarterly all-hands meetings.
- Produces and distributes meeting notes and drafts correspondences.
- Prepares/reconciles/submits expense reports in the Expense Management Platform (Expensify.com).
- Files documents in the company's cloud-based file management system.
- Handles requests, feedback, and queries quickly and professionally.
- Perform additional duties as assigned by the Executives and/or senior leadership officers.
- Proven experience as an Executive administrative assistant, senior Executive Assistant or in other secretarial position.
- Excellent knowledge of MS Suite and similar office software like Zoom Meeting and scheduling software.
- Excellent calendar management skills including coordinating with senior executive.
- Excellent verbal and written communication skills.
- Excellent time management skills with a proven ability to meet deadlines.
- A passion to support the team.
- Ability to efficiently learn new software.
- Self-direction, discretion, and confidentiality.
- High school diploma required; additional qualification as an Executive Assistant would be considered an advantage.
- At least 3 years of related experience.
- Years of experience providing EA services.
