Job Description
Our client, an active professional with corporate governance, investment and non-profit responsibilities, is seeking a full-time Executive Assistant to provide administrative support. The ideal candidate is highly organized, professional, has excellent communication and organizational skills, as well as the ability to multitask and work in a fast-paced environment.
Location: Primary activities will be remote; physical presence (New Canaan) is required weekly or bi-weekly to check in and exchange documents.
Hours: 8am-5pm/40 hours a week
Key Responsibilities:
· Manage the professional and personal schedule of the employer, including coordinating appointments, meetings, and travel arrangements across a broad range of activities.
· Heavy calendar management of a complex and ever-changing schedule
· Manage the employer's email and virtual communications, including responding to inquiries, prioritizing messages, setting up group video meetings.
· Perform administrative tasks, including drafting and preparing documents, managing professional and personal expenses, preparing, and submitting travel expense reimbursement requests from various boards, reconciling credit card statements, maintaining records, and handling incoming mail.
· Support the principal’s family foundation including preparing for and attending trustee meetings, corresponding with nonprofit recipients, tracking, and disbursing contributions.
· Coordinate events, social engagements and travel arrangements in support of the principal’s adult, professional family members, including scheduling and coordinating logistics.
· Liaise with team members from organizations where the principal has a leadership position as well as personal accountant, house manager and third-party vendors.
Qualifications:
· Bachelor's degree preferred.
· Experience as an Executive Assistant or Personal Assistant. Previous experience reporting to a C-level executive (preferred).
· Strong communication and interpersonal skills, with the ability to interact with executives and their staffs.
· Excellent organizational and time-management skills, with the ability to multitask and work in a fast-paced environment.
· Keen interest in and curiosity about technology and how to use it for efficiency and effectiveness. Proficiency in Microsoft Office and other relevant software (including Excel and Quickbooks).
· Must be able to respect confidentiality and handle sensitive information.
· Flexibility and adaptability to changing priorities and schedules.
· Driver's license and/or reliable transportation.
