Position:Executive Assistant
Location: Edison, NJ

Job Summary: The Executive Assistant reports directly to the *** (HMH) network Executive(s) and plays a crucial role in relieving them of administrative tasks, enabling them to focus on executive-level responsibilities. This position entails a variety of duties including scheduling appointments, coordinating special projects, handling correspondence, and managing office operations. The ideal candidate will possess exceptional organizational skills, strong communication abilities, and the capacity to handle confidential information with discretion.
Essential Generic Job Functions:
- Schedule appointments, meetings, and conferences for departmental personnel using computerized scheduling systems.
- Prioritize incoming calls, screen, transfer, and record messages as needed.
- Coordinate special projects, compose memos, transcribe notes, and create presentations.
- Generate reports, handle multiple projects, and prepare invoices and expense reports.
- Prepare and file routine and advanced correspondence, including letters, memoranda, and reports.
- Review and distribute daily mail correspondence to appropriate personnel.
- Order office supplies and maintain inventory.
- Keep departmental manuals and files up-to-date.
- Assist with compiling and developing the annual budget.
- Handle confidential and time-sensitive material.
- Exercise judgment and experience to plan and accomplish goals.
- Adhere to HMH organizational competencies and standards of behavior.
- Perform other duties and/or projects as assigned.
Required Skills & Experience:
- Minimum of 10 years' prior experience in a related field, with at least 2 years' experience working for top-level Executive(s).
- Bachelor's degree may be substituted for some required experience.
- Proficiency in computer skills, including Microsoft Office Applications (Outlook, Excel, PowerPoint, etc.) and/or Google.
- Excellent written and verbal communication skills.
- Strong problem-solving capabilities.
- Highly organized with meticulous attention to detail.
- Ability to prioritize and work independently on multiple tasks.
- Initiative-taking attitude and ability to handle stressful situations.
