Executive Assistant and Board Liaison
Responsibilities Overview:
The Executive Assistant will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The candidate must have a strong attention to detail and ability to be flexible in a fast paced environment. Must post good judgment and exercise diplomacy in dealing with confidential information. The candidate should display the ability to think strategically, anticipate the needs of the CEO and implement them as deemed appropriate. Additionally, he/she needs to be an excellent planner, as well as be able to prioritize and possess strong writing and communication skills.
The Executive Assistant reports to the Chief Executive Officer who assigns work, sets priorities and deadlines and reviews work on a regular basis. Majority of the work time is taken with work for the CEO and the Board of Directors, and, as time allows, the Executive Assistant will provide support to the Chief Operating Officer, Chief Financial Officer, Chief Development Office and the Chief Human Resources Officer at the discretion of the Chief Executive Officer. Advance notification of any pending projects from members of senior management is requested; and prioritization of work for members of senior management will be according to the urgency of their request.
Essential Functions
Responsibilities include, but not limited to: maintaining appointment calendar, coordination of all senior, director and management level meetings to include preparation of agenda, minutes, development of management reports and appropriate interaction with Board of Directors, clients, governmental and key community leaders. The Executive Assistant must have the ability to perform duties with initiative, independent judgment, and discretion.
Provide Administrative Support:

  • Compose a wide variety of confidential letters, memos, reports, minutes, budget presentations, and other complex documents. Includes working from handwritten rough drafts, ensure proper formatting, proofreading of outgoing correspondence for procedural and grammatical accuracy.
  • Establish and maintain files for the Chief Executive Officer, Chief Operating Officer and Chief Financial Officer. Exercise initiative in revising files to meet current needs. Maintain current and past corporate governance documents in appropriate electronic and paper files; including board minutes, corporate resolutions, and publicly distributed documents such as the 990's, audited financial statements and other documents, as requested.

  • The Executive Assistant is responsible for working with the Board of Directors on all scheduling all group meetings such as the Board Meeting as well as the Executive Committee Meeting and on any board projects as deemed appropriate by the Chief Executive Officer.
  • Photocopy materials, send and receive faxes, as required by the Chief Executive Officer, Chief Operating Officer and Chief Financial Officer
  • Sorts and distributes incoming and outgoing mail for the Chief Executive Officer, Chief Operating Officer and Chief Financial Officer.
  • As directed by the Chief Executive Officer; responsible for making catering arrangements for various meetings, luncheons and evening events.
  • Creates and maintains Marketing mail database and provides monthly reports on marketing statistics to the Chief Marketing Officer.
  • Orders all Agency stationary including business cards, envelopes, letterhead, card stock.
  • Prioritize and manage multiple one-time projects simultaneously, and follow through on issues in a timely manner. All projects by senior management must be requested ahead of time and may be prioritized by the Chief Executive Officer.
  • Schedule and coordinate various meetings for the Chief Executive Officer, Chief Operating Officer and Chief Financial Officer. Coordinates dates/attendance, distribute materials for committee meetings, agendas and minutes.

  • Planning/organizing - the individual works independently, prioritizes and plans work activities and uses time efficiently.
  • Quality control - the individual demonstrates accuracy and thoroughness and monitors own work to ensure quality.
  • Adaptability - the individual adapts to changes in the work environment, manages competing demands and is able to deal with frequent change, delays or unexpected events.
  • Dependability - the individual is consistently at work and on time, follows instructions, respond to management direction and solicits feedback to improve performance
  • Performs other duties as required

Minimum Education and Work Experience Required:
  • A minimum of five to seven years of working experience at the Executive level
  • Typing skills - 70-75 words per minute
  • Excellent communication and telephone skills
  • Good working knowledge of common English usage, spelling and business formats
  • Proficient in MS Office, including Word, Excel, Access, PowerPoint and Outlook
  • Notary - State of Maryland
