Job description

This position is located in the Office of the Attorney General‘s Family Services Division (FSD). FSD works on behalf of the District’s most vulnerable citizens – abused and neglected children. The Division has five Child Protection Sections. The attorneys in these sections handle all child abuse and neglect litigation on behalf of the District’s Child and Family Services Agency (CFSA), from the initiation of a case through finding a child a permanent placement. Division attorneys also advise CFSA social workers and staff members on compliance with local and federal law.

The incumbent performs a variety of programmatic duties, which are in direct support of the Division’s customer service needs as well as the Deputy and Assistant Deputy of the FSD. The position ensures that the daily administrative operations required to meet the goals and objectives of the Division are accomplished.

Duties and Responsibilities

  • Serves as main receptionist for FSD. Receives all visitors and responds to all calls for FSD received on the main line. Determines appropriate routing of correspondence. Collects, time stamps, sorts, and distributes the mail for the office. Greets CFSA staff and members of the public who seek assistance from FSD, triages their needs and connects them with the appropriate person.
  • Updates pre-petition custody orders in Abacus, an electronic case management system, and ensures updates are made as information is received from CFSA and the court.
  • Maintains and processes time and attendance documents for the office.
  • Maintains supplies for the office by reordering supplies as needed, keeping supplies stocked in the mail room, and ensuring the supply closet is organized.
  • Assists in creation of agendas and determines location for meetings, conferences, and other special events. Ensures that appropriate working papers, pamphlets, briefings, and reports are complete and ready for presentation. Oversees all logistics planning and preparation for meetings, including scheduling, mailings, travel and lodging arrangements, and special events.
  • Attends management meetings at the discretion of the Deputy or Assistant Deputy and takes notes about initiatives, assignments, projects to support the FSD management team with deadlines and execution of tasks.
  • Provides administrative support to the Deputy and Assistant Deputy as requested.
  • Handles special assignments involving confidential employee information, personnel actions, and data contained in the employee personnel file.
  • Handles special projects involving the maintenance of Excel spreadsheets to reflect specified data metrics.
  • Works with the Operations Manager on administrative duties as assigned.
  • Follows up on all assignments made by the supervisor to other senior staff, officers, and D.C. government officials to assure timeliness of projects and that the end product is completed. Reports delays to the supervisor and the reasons behind them. Maintains executives’ calendar to include special projects and events.
  • Performs other related duties, as assigned.

Qualifications and Education

Applicants must have at least one (1) year of specialized experience equivalent to at least the CS-09 grade level, or its non-District equivalent gained from either the public or private sector.

PAY PLAN, SERIES, AND GRADE: CS-0301-11

TYPE OF APPOINTMENT:Career Service – Term

COLLECTIVE BARGAINING UNIT: This position is within the collective bargaining unit.

COVID-19 VACCINATION REQUIREMENT: Pursuant to Office Order 2023-10 (Revised COVID-19 Vaccine Policy) effective immediately, vaccination and additional boosters are no longer required but are strongly encouraged.

REMOTE WORK STATUS: Work is performed in an office setting. A hybrid remote telework/in-office schedule option is possible after a 90-day probationary period.

OTHER SIGNIFICANT FACTS

GENERAL SUITABILITY SCREENING: The selected candidate will be subject to a background investigation including reference checks.

PRIORITY CONSIDERATION: Displaced Employee Priority Placement: Candidates who are eligible for the District of Columbia’s Displaced Employee Program (DEP) and Agency Reemployment Priority Placement Program (ARPP) will be given priority consideration for this position if found qualified.

EMPLOYMENT BENEFITS: Selectee will be eligible for health and life insurance, annual (vacation), and sick leave and will be covered under the District of Columbia government’s retirement plan. However, if the selectee was previously employed in the District of Columbia’s government under an appointment for which he/she was eligible for Civil Service Retirement (CSR), contributions to CSR will resume upon re-employment.

RESIDENCY PREFERENCE: A person applying for a position in the Career Service, Education Service, Management Supervisory Service, an attorney position in the Legal Service (series 905) other than in the Senior Executive Attorney Service (SEAS), or an attorney in the Excepted Service (series 905) who is a bona fide District resident AT THE TIME OF APPLICATION for the position, may be awarded a 10-point residency preference over non-District residents’ applications, unless the person declines the preference points. If selected, the person shall be required to present proofs of bona fide District residency and maintain such residency for 7 consecutive years from the effective date of the appointment. Failure to maintain bona fide District residency for the 7-year period will result in forfeiture of employment.
