JOB SUMMARY

The Executive Assistant must be a supportive force who empowers our senior leadership. The ideal candidate would be an initiative-taking, analytical person with exceptional communication skills and meticulous attention to detail. This person should have experience working in an office environment, performing administrative duties, and providing support to managers. The Executive Assistant must be flexible and consistent while maintaining the confidentiality of high-level systems and operations. This position also performs the duties of a credentialing specialist and is responsible for completion and oversight of all medical staff credentialing.

MINIMUM QUALIFICATIONS    

Education:

Bachelor’s Degree or equivalent experience required.

Experience:

Four or more years of experience in an administrative role reporting directly to upper management

Excellent written and verbal communication skills

Strong time-management skills and an ability to organize and coordinate multiple concurrent projects

Proficiency with office productivity tools and an aptitude for learning new software and systems

Flexible collaborator, willing to adapt to changes and unafraid of challenges.

Ability to maintain confidentiality of information related to the company and its employees

JOB SPECIFIC FUNCTIONAL SKILLS

Competency: Administrative Skills

  • Manage professional and personal scheduling for CAO, including agendas, mail, email, phone calls, client management, and other hospital logistics.
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.
  • Manage senior executives’ travel logistics and activities, including accommodations, transportation, and meals.
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database.
  • Maintain professionalism and strict confidentiality with all materials.
  • Organize team communications and plan events, both internal and off-site.

Competency: Equipment

  • Must possess knowledge and experience with computer equipment including desktop or laptop, Microsoft Office Products, and multi-function devices.

Competency: Medical Staff

  • Knowledge of medical staff affairs operational processes.
  • Knowledge of medical credentialing and privileging procedures and standards.
  • Knowledge of related accreditation and certification requirements. Working knowledge of clinical and/or hospital operations and procedures.
  • Knowledge of clinical privilege criteria development.
  • Knowledge of medical staff policies, regulations, and bylaws and the legal environment within which they operate.

Competency: General

  • Knowledge of performance improvement techniques and information research skills.
  • The ability to analyze, interpret, and draw inferences from research findings, and prepare reports.
  • The ability to communicate effectively, both orally and in writing, with all levels of the organization.
  • The ability to use independent judgment and to manage and impart confidential information.
  • Knowledge of project management principles, practices, techniques, and tools. Database management skills including query and report generation.
  • The ability to make administrative/procedural decisions and judgments.

Performs Other Duties as Assigned:

Attends mandatory in-service, staff meetings, and actively participates in self-education. Completes all required competency assessments on time.
