Job Overview:
As an Executive Administrative Assistant for JP Management, you will play a crucial role in supporting the efficient operation of the property management team. This role involves handling administrative tasks, coordinating communication, and ensuring smooth day-to-day operations within the property management department. The ideal candidate should be highly organized, detail-oriented, and possess excellent communication skills.
Administrative Support:
- Greet tenants/visitors and notify company personnel of their arrival.
- Answer phone calls and resolve callers’ issues or forward the call to the appropriate individuals
- Check voicemail daily and email message to appropriate individual.
- Open, date stamp, and sort incoming mail.
- Receive all packages/deliveries.
- Take certified mail to the post office.
- Organize payment envelopes by property.
- Scan work orders, tenant letters, and late payment envelopes and attach them to the tenant ledgers in the accounting system.
- Mail out tenant ledger or other documents requested by tenants.
- File all paperwork related to tenants and vendors.
- Assist office team with projects when needed.
- Provide general administrative support to the property management team, including scheduling meetings, managing calendars, and handling correspondence.
- Prepare and distribute memos, reports, and other documents as needed.
- Maintain organized filing systems for property-related documents.
Special Projects:
Contribute to special projects or initiatives as assigned by property management leadership.
Qualifications:
- Fluency in English and Spanish required.
- Strong customer service and interpersonal skills required.
- Effective written and verbal communication skills required.
- Must be detail-oriented and thorough in performing job duties.
- High School Diploma or equivalency preferred.
- Two (2) years of business experience preferred.
- Working knowledge of Microsoft Office: Excel and Word preferred
