Job description

Job Overview:

As an Executive Administrative Assistant for JP Management, you will play a crucial role in supporting the efficient operation of the property management team. This role involves handling administrative tasks, coordinating communication, and ensuring smooth day-to-day operations within the property management department. The ideal candidate should be highly organized, detail-oriented, and possess excellent communication skills.

Administrative Support:

  • Greet tenants/visitors and notify company personnel of their arrival.
  • Answer phone calls and resolve callers’ issues or forward the call to the appropriate individuals
  • Check voicemail daily and email message to appropriate individual.
  • Open, date stamp, and sort incoming mail.
  • Receive all packages/deliveries.
  • Take certified mail to the post office.
  • Organize payment envelopes by property.
  • Scan work orders, tenant letters, and late payment envelopes and attach them to the tenant ledgers in the accounting system.
  • Mail out tenant ledger or other documents requested by tenants.
  • File all paperwork related to tenants and vendors.
  • Assist office team with projects when needed.
  • Provide general administrative support to the property management team, including scheduling meetings, managing calendars, and handling correspondence.
  • Prepare and distribute memos, reports, and other documents as needed.
  • Maintain organized filing systems for property-related documents.

Special Projects:

Contribute to special projects or initiatives as assigned by property management leadership.

Qualifications:

  • Fluency in English and Spanish required.
  • Strong customer service and interpersonal skills required.
  • Effective written and verbal communication skills required.
  • Must be detail-oriented and thorough in performing job duties.
  • High School Diploma or equivalency preferred.
  • Two (2) years of business experience preferred.
  • Working knowledge of Microsoft Office: Excel and Word preferred

Experience level:

  • 2 years

Job Type: Full-time

Pay: $25.00 - $28.00 per hour

Expected hours: 40 per week
