Events Specialist

We are currently looking to fill the position of Events Specialist with a starting range of $56,000 - $80,000/year, dependent upon experience, education, and skills. This position may have the opportunity for occasional work from home.

Under the direction of the Manager of Tradeshows and Events, this position has an enhanced role in the planning and execution of event operations (logistic, administrative, etc.) for P28 meetings and events. These events include, but are not limited to tradeshows, sales force and surgeon educational training programs and courses as well as specialty corporate events.

Key Responsibilities

• Responsible for assisting in the procurement, contracting and vendor relationship management in the areas of accommodations, food & beverage, regional tradeshow space and transportation needs.
  • Establishes catering orders, housing arrangements, audio/visual and room set-up as needed for each event.
  • Contracts and finalizes regional tradeshow registrations as well as any room blocks for shows where HQ employees will be traveling, or regional events are taking place.
  • Owns and operates events at Paragon 28 Global Headquarters as assigned by Manager and the ‘Regional Events’ segment of the Events Team.
  • To include:
    • Oversight of coordinators who operate SEE P28 HQ Visits
    • P28 Regional Dinners
    • Regional Events tradeshows, trainings, labs, etc.
• Travels to and provides full support to designated tradeshows throughout the year.
• Works collaboratively with colleagues on the Events Team and any assigned internal clients to plan and execute required team functions.
• Provides onsite support for courses including assigned event operations and oversight of coordinators at registration and check-in.
• Assists Manager with execution of cross-functional departmental events.
• Manages Smartsheet workflows including oversight of coordinators, along with the Manager of Tradeshow and Events.
• Manages requests on P28 Events Request System, as assigned, as well as working with internal partners on upcoming event activity, budget, fulfilling logistical requests and ensuring proper approvals are in place prior to event.
  • Assists with shared calendar updates, streamlining data input, and coordinating training for new reps on proper usage.
• Generates qualified sales lead lists for events and distributes to relevant sales team members.
• As assigned, completes post-event analysis including surveys, recaps, and recommendations for improvement on events.
• Assists with accounting and budgeting along with the Events and Tradeshow Manager.
  • Responsible for tracking all invoices and expenses related to events against budget for financial reconciliation.
  • Provides assistance in Marketing vendor processing and payment, including PO creation, obtaining vendor documentation for AP and coordination of payments and reconciliations.
• Functions as a point of contact for the sales force in relation to registration paperwork, badge submittal, and additional paperwork as needed for events.
• Assists manager in the synchronization of third-party vendors, marketing department partners, physicians, and cross-functional team to ensure deliverables are met on time for assigned meetings and events.
• Ensures all Compliance guidelines/policies are followed, including management of Surgeon Expenses and monthly CMS reporting for all events.
• Adheres to state, federal, and AdvaMed code of conduct and industry organization policies with respect to show give-a-ways, physician events, dinners, receptions, promotions, physician payments, etc.
• Performs duties in compliance with applicable FDA and state regulations as well as standards including, but not limited to, ISO 13485.
• Other duties as assigned by Manager of Tradeshows and Events.

Position Type/Expected Hours of Work

This is a full-time position and will normally work typical business hours. Additional evening and weekend hours will be required at events. This position is eligible for a hybrid work from home/office schedule as approved by Manager of Tradeshows and Events.

Travel Up to 50% of overnight travel.

Qualifications

• Bachelor’s Degree required.
• Two to five years of experience in hands-on event coordination and execution
• Must be able to manage multiple, detailed projects and prioritize urgent needs simultaneously.
• Excellent planning, organization, communication, and analytical skills
• Strong collaboration skills and willingness to be a team player.
• Proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint)
• Ability to travel up to 50% of the time; trips can last up to 7 days depending on event type.
