Job description

RESPONSIBILITY:
Answer all incoming department calls, provide general, and specific information regarding catering and banquet events.
Handling of event deposits and assigning it to the correct Beverage Event Order.
Draft and type general correspondence, as well as perform general administrative duties such as responding to emails, filing, and preparing weekly reports.
Keep Chef, Banquet Manager and Director of Hotel & Events Sales informed of party guarantees that could affect scheduling.
Maintains and organizes banquet files, follow-up with clients on banquet contracts and guarantees.
Assists Director of Hotel & Events Sales and/or Banquet Manager with coordination of events.
Assist with event set-up such as setting up placards, favors, or any other details on event day as needed.
Assist with ordering, following-up, billing of cakes, flowers, and musicians as needed.
Book appointments for prospective clients to show them event rooms, provide information such as room availability and assist in sales when possible.
Responsible for knowledge of banquet menu items and price points.
Prepare and distribute banquet event orders in a timely manner and keep all department heads informed of any changes and/or additions.
Maintaining helpful and cooperative relations with members, guests, and associates.
Responsible for seeing that computer and office equipment are in good working condition and keeping supplies available.
Responsible for assigning account numbers for all catering events, keeping accurate billing records, processing of deposits, checking all banquet party sheets for accuracy before forwarding to accounting, processing of refunds for overpayments, and processing of check requests for outside vendors.
Preparation and processing of transfers, credits and debits, interfacing with accounting and clients
as needed.

Take responsibility for maintaining an uncompromising clean CIub; maintain your work area neat and clean, clean after yourself in associate and member areas, be proactive in maintaining member areas neat and clean by performing minor cleanup as needed (i.e., cleaning minor food and liquid spilIs, storing forgotten exercise equipment, wiping equipment, etcetera); and promptly report needed repairs, potential safety issues, significant cleaning jobs to housekeeping, cleaning, and/or engineering department.
Follow through with resolutions to problems from beginning to end; break away from your regular duties if needed to follow through on resolutions.
Be knowledgeable of CIub information; maintain sufficient and updated information to be able to easily answer questions from members and guests thoroughly from beginning to end.
Practice personal hygiene: wear clean and pressed clothing, and proper uniform if required by your position.
Use proper and welcoming telephone etiquette; do not screen calls, answer calIs by the 3'd ring, smile while you speak.
Reply to emails the same day you receive them.
Anticipate and comply with member needs and record their preferences.
Be an ambassador of the CIub in and outside the workplace; always represent yourself and the club professional Iy and with respect.
ENSURE A SAFE WORK ENVIRONMENT:
Comply with the Company Health and Safety processes while working on projects, initiatives, and other work-related duties; perform job duties in a way that will not cause danger to self or others, or violate local, state, federal, environmental regulations.
Promptly correct or report any hazard, potential hazard, or unsafe work condition to the Director of Facilities, and/or People 6‹ Culture; wear protective equipment when required; ensure work location is kept safe, clean, and organized.
INITIATE PROFESSIONAL GROWTH:

EDUCATION, LICENSES, A CERTIFICATIONS:
I deal: Minimum of two (2) years of experience in same or similar positions in the Retail, Hospitality, or Food 6‹ Beverage industry
Required: High School Diploma or GED Equivalent
I deal: Bachelor*s
I deal: Current California Driver License with satisfactory Department of Motor Vehicle driving record.
ESSENTIAL QUALIFICATIONS:
Required: At least twenty-one 21 years of age.
Required: Reliable and punctual attendance.
Required: Excellent time-management skills; prioritizing and completing assigned job tasks effectively.
Required: Travel (by vehicle and plane) for business, training, and/or development, including overnight trips.
I deal: Bi-lingual oral, speech, and writing skilIs in English and Spanish or other language is an asset in this position
Required: Excellent interpersonal and customer service skilIs
Required: Computer Experience: proficient Microsoft Office programs, Outlook, and ideaIly Opera
Required: Excellent verbal and written communication skilIs; ability to convey messages clearly and compose correspondence with correct and proper grammar.
