Summary This position functions as an Equipment, Facilities and Service Assistant (Office Automation) for the Maintenance & Operations (M&O) section in Engineering Service, which is a multifaceted organization that includes responsibilities for maintenance and repair, utility operations, construction and other related duties at the James J Peters VA Medical Center in Bronx, NY. THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION The major duties include but are not limited to: Provides administrative support to the section in maintaining the equipment database, ensuring old equipment is disposed of and new equipment is entered into inventory and working alongside the engineers and shops to provide required information to ensure the database is up-to-date; Oversees stock inventory and establishes to adjust stock levels and reorder points using various formulas and procedures; Screens visitors and telephone calls, distributes mail and maintains suspense files to track due dates for the unit and prepares other typed correspondence as required; Organizes and maintains files and records, manuals, handbooks and other related materials; Maintains information on safety documents, certifications and inspections related to environment of care; Utilizes responsibility for maintenance and repair schedules; Sets up work schedules for recurring work and dispatches emergency response teams acquiring all the material necessary to rectify the issues; Utilizes responsibility for the work order system and receives an abundance of work requests from other Medical Center personnel; Processes, adjusts and tracks the work requests; Reviews work orders for labor, material cost and priority; Enters work order requests for all hazard surveillance deficiencies as submitted by the Safety Section; Serves as the point of contact to the Animal Research Center dealing with issues regarding work requests, monitoring, tracking and providing updates with frequency based upon the importance of work requested; Serves as the purchasing agent for the Chief M&O managing fund control points related to operations, which involves both tracking incoming and outgoing funds, what the funds are utilized for and tracking year to year expenditures to predict future budgets; Contacts the vendors for quotes and searches for new vendors for supplies; Keeps track of the orders certification, receiving and reports the status of the orders to the Chief Engineer/M&O; Serves as the primary timekeeper; Prepares timekeeping reports for review by the Chief Engineer; Ensures timesheets are posted in a timely manner and maintains files on all time and leave (T&L) units; Provides timekeeping technical consultation to the supervisors, including obtaining clarification from Fiscal timekeeping staff when required; and Performs other related duties as assigned. Qualifications TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. AND In addition to meeting the typing proficiency, to qualify for this position at the GS-6 grade level, you must also meet the following: SPECIALIZED EXPERIENCE: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-5) in the Federal service that has given you the particular knowledge, skills and abilities required to successfully perform the duties of an Equipment Facilities and Services Assistant (Office Automation) and that is typically in or related to the work of the position to be filled. Specialized experience includes: performing administrative and customer service duties; reviewing work order requests and entering electronic work orders; serving as purchase card holder to purchase supplies, material, and equipment; serving as a timekeeper; and using a variety of computer software (Microsoft Office, databases, etc.) to enter work orders, maintain call logs, and to prepare a variety of correspondence and reports. Note: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. You will be rated on the following Competencies as part of the assessment questionnaire for this position: Accounting Control of Funds Organizational Awareness Planning and Evaluating Problem Solving IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work requires sitting, walking, standing, bending and lifting. Additional Information Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
