Who we are: A nine-person legal team helping North America's leading energy efficiency consulting firm, CLEAResult, save people hundreds of millions on energy bills and removing over 2 million metric tons of CO2 emissions every year.
This position will primarily support our disputes and employment team, and work with our other attorneys and legal support coordinators with a variety of compliance and administrative items, while also assisting with highly sensitive but typical executive assistant duties.
Our ideal candidate has an eye for detail, can work independently, take initiative, is tech savvy, service-oriented, self-aware with high "EQ," and skilled at triaging a constant flow of competing priorities, while ensuring everyone stays on track. We need a true team player willing to take on any task to help our legal team and energy efficiency experts all over North America changing the way people use energy. The role requires flexibility, agility, and the ability to perform legal gymnastics, whether the routine requires tracking incoming matters and invoices, creating presentations, updating the team website, performing notarizations, or accepting service of process for the corporation.
The role requires regular office visits to our downtown Portland office to print documents, perform notarizations, deliver/retrieve mail, etc., and occasionally courier runs throughout the Portland metro area. The Portland-based teammates meet in person at least once monthly. Otherwise, the Paralegal I will typically perform the remaining duties remotely.
Scope of responsibilities:
- Regular physical document printing and mail runs at the Portland office and other local work locations
- Assisting with the corporate response to subpoenas and discovery requests
- Maintaining legal files related to dispute resolution
- Assisting with policy and employment matters, including but not limited to maintenance of the Employee Handbook and other corporate policies, and drafting and review of various employment agreements
- Drafting basic dispute resolution documents, including settlement agreements, demand letters, and insurance claim submissions
- Word, Adobe Acrobat Pro, PowerPoint editing/formatting of typical legal memoranda, correspondence, executive presentations, etc.
- DocuSign requests and routing
- Prompt service of process routing
- Public Notary (including virtual certification)
- Manage Legal team travel arrangements, mileage, and corporate expenses
- Track Legal team licensure compliance
- Meeting coordination/logistics (e.g., conference room reservations, catering, video conference set-up)
- Vendor and outside counsel invoice management
- Maintain Legal team intranet page
- Manage legal holds
- Data entry into contract database
- File management/document retention policy compliance for the Legal team
Required attributes:
- 2+ years of working in a law firm or corporate legal department
- Excellent communication and organization skills
- Ability to problem-solve, and manage priorities under tight deadlines
- Ability to communicate complex information across all levels of the organization
- Fluency with Microsoft Office Suite (particularly Word, PowerPoint, Outlook, and Excel) and Adobe Acrobat
- Meet the requirements for a public notary (and virtual certification), if not currently a notary
- An enthusiastic, cheerful attitude, a love for learning and a passion for anything not related to work
Preferred attributes:
- 2+ years of paralegal experience
- Bachelor's degree or paralegal certification
- Familiarity with SharePoint, Workday, DocuSign, Power BI, Salesforce, any e-billing software, Logikcull, Relativity or comparable e-discovery software or other legal technology tools
- Experience in implementing and using legal technology tools
- Experience in insurance recovery
- Knowledge of the energy efficiency industry
- Customer service experience in any industry
