ESSENTIAL JOB FUNCTIONS
ENTITLEMENTS TECHNICAL ASSISTANT:
Takes direction from the Entitlement Services management staff in the carrying out of all the usual general office clerical tasks: filling, coping, faxing, light typing, use of the computer with a particular knowledge and expertise of computer programs: Anasazi, Microsoft Outlook, Microsoft Office Word and Microsoft Office Excel. In addition, manage and perform the highly specialized Entitlement Services managerial projects as described in details below:
MAINTAIN ENTITLEMENT FILES:
Task 1: Create Entitlements charts for ICL residents.
Task 2: File various monthly entitlements reports for farther departmental use.
Task 3: Filing.
PREPARE VARIOUS TYPES OF ENTITLEMENTS DEPARTMENTAL REPORTS:
Task 1: PRODUCE AND DISTRIBUTE WEEKLY REPORTS
Task 2: PROCESS ANY ADDITIONAL REPORTS AS REQUIRED
MANAGES THE AMALGAMATED BANK’S DIRECT DEPOSIT PROCESS AS DIRECTED:
Task 1: To file weekly printed reports
Task 2: Sort Amalgamated Bank consumers’ individual statements and distribute them to Entitlements Specialists/Coordinators.
WEEKLY PROCESS SSA AND PUBLIC ASSISTANCE CHECKS FOR TERMINATED CONSUMERS ACCORDING TO THE SPECIALIZED ENTITLEMENT RULES AND REGULATIONS:
Task 1: Copy checks; verify the termination data using EHR system.
Task 2: Processing checks for submission to HRA (cash allowance and Medicaid Surplus checks)
Task 3: Processing checks for submission to SSA and SSP
Task 4: Scan and file copies of submitted checks with signed receipts.
PROCESS MTA HALF-FARE METRO CARDS:
Task 1: Collect data and complete the MTA half-fare applications.
Task 2: Manage monthly appointments with ICL residents to complete application and make a photograph at 125 Broad Street.
Task 3: Process MTA application by arranging for the notary seal.
Task 4: Prepare the package of completed applications for submission to MTA.
Task 5: Hand deliver completed packages to MTA.
Task 6: Copy and distribute received MTA half-fare metro cards.
ARCHIVE HARDCOPY FILES IN COMPLIANCE WITH RECORDS RETENTION POLICIES:
Task 1: Organize files in chronological/ alphabetical order and label them.
Task 2: Complete Iron Mountain Storage Forms and make a copy for each Entitlements Specialist/Coordinator.
Task 3: Prepare boxes for pick up by archiving company
Task 4: Requesting files from archive when needed
OTHER DUTIES:
- Process mail for discharge consumers
- Order office supplies for the Department
- Coping, scanning, faxing documents as needed
- Additional related duties as may be assigned.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Communicate effectively orally and in writing
- Use common office equipment, such as photocopier, fax machine, typewriter and etc.
- Knowledge of computer programs and e-mail system
- Organize and prioritize work task.
- Ability to design forms for the collection of information
- Highly organized and detail-oriented
- Positive attitude and excellent customer service skills
MINIMUM QUALIFICATIONS:
- High School diploma/G.E.D. plus 3 years of clerical experience.
- Must demonstrate excellent verbal and written communication skills along with developed computer literacy and excellent organizational skills.
