Position Description
The Enrollment Advisor’s primary responsibility is to guide prospective parents from A to Z through the enrollment and onboarding process at various Williamsburg schools. You’ll engage and inform parents via phone conversations in a down-to-earth way that builds trust and confidence in our program, laying the groundwork for their child to have a successful and meaningful educational experience in our online classroom.
Roles
1) Facilitating Enrollment Consultations
- Hold 30-minute phone calls with prospective parents and introduce them to the Williamsburg program and educational philosophy.
- Ask filtering questions to ensure the parent and their student understand and are well-prepared to succeed in the Williamsburg program.
- Explain the benefits of the Williamsburg program and the life-changing impact it’s had on our students.
- Answer questions and address any concerns a parent has about how our program will work for their child.
- If our program is a great fit for the student and parent, invite them to apply and/or register and guide them through the relevant next steps.
- If our program isn’t the right fit, recommend alternative options for the parent to explore.
- Document notes and set tasks as needed to follow up with the parent as they go through the application and/or registration process.
- Maintain and update your personal enrollment calendar availability to ensure accuracy at all times.
2) Providing Onboarding Support for New Families
- Advise new parents on course selection for middle school and beginning 9th-grade students.
- Partner with Academic Counselors to assist parents with course selection for 10th, 11th, and 12th-grade students and/or those transferring credit.
- Be available as a resource for new parents to answer any questions prior to the start of the semester (e.g., book ordering, accessing online classes, etc.).
- Leverage automated communication systems as needed to help parents receive the right onboarding information at the right time.
- Promptly respond to email and text messages from new parents.
3) HubSpot Customer Relationship Management (CRM)
- Promptly update any relevant properties in HubSpot (Williamsburg’s CRM system) after each customer interaction.
- Stay organized, set and complete CRM tasks on time, and/or proactively adjust due dates and inform the relevant team members when needed.
- Report weekly to the Director of Digital Marketing & Sales on various performance metrics housed in HubSpot.
4) Reviewing & Contributing to the Enrollment Team Knowledge Base
- Demonstrate a deep understanding of the Williamsburg academic program and the unique features, procedures, and policies that set our schools apart.
- Be resourceful and continuously seek out information from our company and school websites, internal team resources, and colleagues.
- Document new information in Trainual, our internal team knowledge base, for future reference for you and your colleagues.
- Proactively stay up to date on news and changes to the Williamsburg program and our Family of Schools.
5) General Enrollment Team Support
- Seek out and act on opportunities to share feedback with colleagues to help them succeed in their roles.
- Be receptive to and act on feedback from colleagues to improve the quality of your customer interactions and facilitate world-class enrollment experiences.
- Share feedback from customers with relevant colleagues to quickly resolve issues and optimize the customer experience.
- Continuously look for and speak up on opportunities to improve the Enrollment Team’s systems, processes, and steps of service.
- Occasionally play backup and respond to inbound customer inquiries for Williamsburg’s Customer
- Service Team during high-traffic periods.
- Occasionally provide support at in-person school events during slower periods of the year.
- Perform other duties as assigned by the Director of Digital Marketing & Sales and/or Senior Enrollment Advisors.
Minimum Qualifications
- 2 years of sales experience
- Strong oral and written communication skills
- Able to work independently and manage your own consult schedule
Preferred Qualifications
- Prior work experience in the admissions department for a K-12 school or post-secondary institution
- Associate of Arts degree or higher education
- Proficiency in Hubspot or similar sales management software
- Certification in Hubspot sales tools
Required Equipment (You Provide)
- A computer with webcam (no older than two years)
- Headset or headphones with echo-canceling mic
- High-speed internet service, the faster the better (we recommend 5 Mbps or more)
Compensation & Schedule
- Compensation: $50,000 annual salary
- Start date: April 15, 2024
- Schedule: 40 hours per week, Monday through Friday
- Our business hours are 9:00 AM-4:00 PM on weekdays
- There will be 2-3 mandatory online meetings during the week, in addition to enrollment consultations
- Half-day quarterly team meetings will be held online four times per year
