SUMMARY
The Front Desk Coordinator for the Endoscopy Center is responsible for greeting patients and other visitors into the Endoscopy Center. This position is responsible for creating a welcoming, compassionate and quiet environment in addition to performing several administrative and financial functions.
ESSENTIAL DUTIES
• Enter patient and procedure information into ProvationsMD.
• Print procedure schedule daily for providers from ProvationsMD.
• Greets patients and visitors upon arrival into the Endoscopy Center.
• Collect patient and family members temperatures prior to entering Endoscopy Center.
• Enter patient name, DOB, MRN#, and procedure on the Endoscopy daily log for the scheduled day.
• Field questions from guarantors, professional staff, and co-workers.
• Answer Front Desk telephone line.
• Check in and discharge patients after procedure.
• Document no shows and cancellations in Epic.
• Print HIPAA and payment consents from Provation Multicaregiver for each patient to obtain signature from guarantor.
• Check facility and professional benefits with insurance carriers for all patients scheduled for procedures at least a week prior to appointment.
• Determine any professional and facility out of pocket costs associated with the procedure.
• Determine any other self-pay balances on the account from the guarantor snapshot in Epic.
• Document professional and facility benefit information obtained from the insurance carrier and any out of pocket expenses on the appointment desk and guarantor snapshot in Epic.
• Communicate to guarantor any facility and professional out of pocket costs and any other self-pay balances to the guarantor at least a week prior to the procedure.
• Collects prepayments for facility and professional of out of pocket expenses prior to procedure or on the date of service
• Process credit cards and checks for facility and professional payments under separate account log ins in Authorize.net.
• Communicate any patients who need to reschedule due to nonpayment or an illness to the appropriate departments. i.e., procedure scheduling, doctor, nurse manager.
• Responsible for following Business Office policy for payment arrangements when necessary.
• Print face sheets and case reports for each patient daily
• Create labels with patient information for each patient.
• Scan Op reports and any other procedure information into Chartmaxx.
• Scan all Quest and Ameripath laboratory reports into under pathology in Chartmaxx.
• Post op follow up phone calls to patients daily.
• Print anesthesia notes and consents from Provation Multicaregiver daily to give to the anesthesiologist.
• Text each provider regarding their schedule for the following day with the start time of the procedure and name of the procedure.
• Print H&P’s for providers when requested
• Enter name of procedure in history tab in Epic
• Scan all received documentation of procedure into Epic and Provations.
• Enter all procedure charges into Epic
• Post all payments from Endoscopy Center in Epic from the following day.
• Create a spreadsheet for the billing department documenting type of payment collected and how much was collected.
• Create envelopes for professional payments and facility payments. Each envelope has a spreadsheet attached of payments and cash. Envelopes are delivered to the billing department daily.
• Protect patients’ rights by maintaining confidentiality of medical, personal, and financial information.
• Maintain operations by following policies and procedures, reporting needed changes.
• Contribute to team effort by accomplishing related results as needed.
EDUCATION - EXPERIENCE - KSA’s – OTHER QUALIFICATIONS
• High school diploma/GED required (Associate degree preferred)
• 1+ years’ experience in a medical environment.
• Working knowledge of medical billing systems, particularly Epic.
• Comforts patients by anticipating patients’ anxieties and questions,

• While performing the duties of this job, the noise level in the work environment is usually quiet to
moderate.
• Fast paced environment with occasional high pressure or emergent situations.
• Work hours subject to office needs to ensure coverage during all hours of operation.
