Job Description


Sibylline is looking for a talented professional to manage day-to-day operations and account responsibilities for our embedded services programme, with a primary focus on the Americas region. Based in the US, and reporting to the Senior Embedded Operations Manager, the Embedded Operations Manager will be responsible for all operational tasks and management duties for a select group of teams, while supporting the overall implementation of quality service, training, innovation, and continuous improvement.

Sibylline’s Embedded Intelligence Services Manager will support a diverse range of clients across multiple sectors, and the roles and functions of our embedded teams reflect that. All of our embedded deployments are tailored to fit our clients requirements and the approach of our Embedded Operations Manager must reflect that. The Embedded Operations Manager is the lynchpin and conduit between the embedded team, the client and Sibylline.

Embedded Intelligence Services Managers must be a “jack of all trades”, able to balance line management responsibilities, client relationships, continually improving service, billing and finance, and ensuring embedded personnel are supporting with clear direction, process and policy. As such, the successful candidate will have outstanding leadership skills, be comfortable multi-tasking, and able to solve complex problems with patience and resilience. The Embed Operations team is a key source of resources, advice, training, and development for our embedded staff; candidates must have strong awareness of the various needs of private-sector intelligence teams and be capable of inspiring our embeds to deliver pioneering solutions for our clients.

Candidates must be self-starters, with the ability to work both independently and as part of a global team across Sibylline. The candidate will report to Sibylline’s Senior Embedded Operations manager. Full support and guidance will be provided from our head office, including training and professional development.

Duties and Responsibilities

Essential Functions:

People Management:

  • Hold routine check-ins with embedded teams, ensuring the chain of command is functioning well and escalating any issues to embed service stakeholders (Intelligence, People, and Relationship branches);

  • Provide leadership and direction for embedded teams, including guidance around developing their skills, efficiency, morale, and well-being to deliver effective services;

  • Proactively manage any performance, staffing, or resourcing issues, updating both Sibylline HQ and the client point of contact as needed;

  • Guide embedded teams on the development of products, processes, and business partnerships with their clients, ensuring that key service deliverables are met.

Programme Management:

  • Contribute to regular meetings with Sibylline stakeholders to cover progress on recruitment and other routine issues;

  • Work with Embedded Operations colleagues and other Sibylline branches to finesse policies and processes for managing the embed programme (the “Embed Playbook”), as well as general business process optimization;

  • Support the Senior Embedded Operations Manager and Head of Embedded Operations with the overall implementation of quality service and continuous improvement; strive for innovation and implementing new techniques, best practices, and information relevant to the role.

Account Management:

  • Lead the operational management of assigned embed client accounts, including support the Senior Embedded Operations manager transitioning and/or onboarding new teams;

  • Develop and monitor KPIs, lead quarterly business review meetings, and promptly respond to client questions and feedback;

  • Update monthly invoicing based on staffing changes, expenses, and other billable items with accuracy to ensure correct invoicing to clients.

Recruitment:

  • Write job descriptions, writing assessments, and presentation briefs for new, existing, and additional embedded hires;

  • Act as the hiring manager, or support embedded team leaders as hiring manager with panel interviews and liaise with People Branch/Talent to make final hiring decisions;

  • Working with HR Managers, communicate progress on recruitment with Relationship Branch and client stakeholders.

Resources, Training and Mentoring:

  • Quickly develop and maintain knowledge of products and services offered by Sibylline to share intelligence resources and expertise with embeds;

  • Manage career progression for embedded team leads, managers, and single deployments; provide tailored and thoughtful mentorship for each individual, identifying any development needs;

  • Assist with the development and delivery of intelligence training programmes and offerings, both internal and external;

  • Assist the Head of Embedded Operations and Training, Consultancy and Knowledge with maintaining a centralised Intelligence Hub for facilitating collaboration and resource-sharing across the embedded network.

Occasional Functions:

  • Support the Relationship Branch with business development, contributing to proposals, and helping to identify client growth and cross-selling opportunities;

  • Attend and support industry conferences, seminars, and working groups for personal professional development and enhancing the Sibylline brand.

Qualifications


Skills, Experience and Qualifications

  • University / college degree, preferably in Security Studies, International Relations, Business Management, Communications, or a related field – a demonstrated interest in corporate security and global affairs is essential;

  • 5-7 years’ experience working in a dynamic commercial setting, including a track record of at least two year’s experience successfully managing a global team;

  • Excellent understanding of the intelligence consulting sector, particularly related to corporate security, investigations, and risk management;

  • Global experience and cultural sensitivity; confidence managing people at various levels of experience, robust interpersonal skills, and the ability to quickly forge positive relationships;

  • Commercially astute, with knowledge of client account management and experience working with senior decision-makers in a business setting;

  • Good understanding of HR processes in particular employee relations, standards, and guidelines;

  • Pro-active, self-confident, and ready to take responsibility with minimal supervision;

  • Ability to multi-task and quickly pivot between responsibilities as new, time-sensitive issues emerge;

  • Able to professionally handle confidential and sensitive material, including client information and data;

  • Advanced knowledge of Microsoft Office tools, including Excel, PowerPoint, and Word;

  • Fluency in English, both written and verbal;

  • Excellent attention to detail;

  • Strong organizational and planning skills;

  • Full existing authorization to live and work in the US;

  • Willing to undertake domestic and international travel as needed.

Preferred:

  • Advanced degree (Master’s or above) in a related field;

  • Exposure to / awareness of a corporate security environment, such as control centres, fusion centres, or crisis management teams;

  • Ability to develop and deliver training in intelligence or related fields;

  • Experience organizing and maintaining financial spreadsheets / invoicing.

The remuneration for this role is negotiable for the right candidate, dependent on qualifications, aptitude and experience.
