Job Title:Education Event Planning Assistant
Department: Education
Reports To: Director of Education
Start Date: Mid-May
Salary: $15.00 an hour
Position Summary: The Education Event Planning Assistant is responsiblefor supporting the Director of Education and Lifelong Learning in researching, implementing,and evaluating seasonal educational programs at Lakeside Chautauqua. Theideal candidate should possess professional work experience or study ineducation, be extremely self-motivated and detail oriented. This individualmust have strong public speaking, interpersonal and written communicationskills, as well as computer and audio/visual equipment competency.
Essential Duties and Responsibilities (To include other duties that may beassigned.)
Programming Responsibilities:
• Assist with Education Department special events(including, but not limited to Hoover speakers, preconcert speakers, author/writingsessions, education seminars, collaborative programs with other pillars)
• Manage implementation of scheduled educationalprograms as assigned by Director
• Ensure facility set up is appropriate forspeaker and audience needs, including but not limited to audio visual, seating,and handouts and reset facility upon completion of programs.
• Anticipate potential issues and take appropriatesteps to resolve issues.
• Interact with speakers and audience membersprior to and after programs to ensure all needs are met. Follow up appropriately when needs are notmet.
• Write and present professional speaker introductions.
• Provide assistance with coordination andimplementation of Programming Department Events as assigned by Vice Presidentof Programming
Administrative Responsibilities:
• Perform administrative work related to educationprograms including, but not limited to organizing speaker paperwork, followingup on missing information, preparing speaker final confirmations and preparingpackets for speakers’ arrival.
• Prepare lecture handouts, evaluation forms andadditional materials.
• Assist in marketing efforts related to educationprogramming, including preparing publicity content and promoting programsthrough multiple channels such as social media, the Lakesider newspaper, and the Lakeside website
• Research opportunities for youth and teen educationprograms to be implemented in future seasons, especially as it relates to STEM
• Prepare end-of-season report detailing programsuccesses and challenges, as well as program attendance and evaluation data
• Contribute to evaluation of education programs forfuture planning
• Participate in Education Department meetings andProgramming Department meetings as appropriate
Requirements:
• Ability to handle multiple priorities, excellentattention to detail and a ‘self-starter’ with the ability to work independently
• Proficient with Microsoft Office Suite andOutlook
• Ability to set up and troubleshoot usage of audio/visualequipment including computers, LCD projectors, internet connections, microphones,etc.
• Ability to maintain confidential information
• Ability to provide timely and positive responsesto correspondence, requests, and questions received by the Education Department
• Availability to work outside the normal schedule,including early morning, evening and weekend hours
• Demonstrated ability to collaborate withvolunteer groups, peers, administrators and board members
• Excellent verbal and written communicationskills
• Commitment to ethical business practices andteamwork
• Ability to set up and tear down events whenneeded, which may include lifting 20-30 lbs.
• Proficient and comfortable using social medianetworks
Qualifications:
Toperform this job successfully, the individual must be able to perform eachessential duty satisfactorily. Education and/or Experience:
Strong interest/study/experiencein education and/or life-long learning required. Event planning and publicspeaking skills preferred.
Language Skills:
Abilityto read and interpret documents within the programming department. Ability towrite routine reports and correspondence. Ability to speak effectively tocustomers and employees of the operation.
Mathematical Skills:
Abilityto manage contracts, reconcile budgets and business statements, analyze trends andapply basic math concepts.
Reasoning Ability:
Abilityto solve practical problems and deal with a variety of concrete variables. Ability to interpret and respond to a varietyof instructions furnished in written, oral, diagram, or schedule form.
Physical Demands:
Whileperforming the duties of this job, the employee is regularly required to stand;walk; use hands/fingers to
handle orfeel; reach with hands and arms; stoop, climb or balance; specific vision,depth perception, and ability to adjust focus. High volume repetitive motion data entry during peak periods. Ability toset up and tear down events when needed, which may include lifting 20-30 lbs. Thephysical demands described here are representative of those that must be met byan employee to successfully perform the essential functions of this job.
