JOB TITLE: Early Care and Education Training Specialist LOCATION: ORLANDO, FL

GENERAL DESCRIPTION:
Provides clerical assistance in support of all contract activities associated with the Department of Children and Families Child Care System for the District. Assist with training opportunities provided by the Agency. Responsible for monitoring the Department of Children & Families Competency Exams according to the “Proctor’s Guide for Child Care Training Exams”. This position provides administrative support in the ECE Training Department.
ESSENTIAL JOB FUNCTIONS:
  • Responsible for customer assistance to individuals via phone, Internet or on-site and technical support to training providers as requested.
  • Collects and prepares data for entry, compiles reports and drafts letters for instructors, agendas, and other materials. Maintains class files, creates correspondence, memoranda, emails, and other documents for DCF at the direction of the Early Care and Education (ECE) Training Director.
  • Assists with registration, schedules, and collects fees for classes and enters into DCF system and agency tracking system.
  • Assigns class numbers, reviews status DCF district classes and updates as necessary and schedules trainings. Maintains class cancellations in DCF system.
  • Assists with set-up/breakdown for classes including preparation of supplies and materials for instructors; scanning exams; and, proctoring exams as needed.
  • Creates training calendars; class schedules; records attendance; maintains cancellation folder and paraprofessional database for agency classes as needed.
  • Assist Training Exam Assistant in preparing testing packages, storage, and packing for all testing sites.
  • Photocopies exams and course material as needed.
  • Assist in all childcare proctoring duties as needed, outlined, and designated in the Proctor’s Guide.
  • Arrives at the exam site at the required time (always prior to the start of the exam).
  • Ensures students are properly seated at the correct table tent with the correct exam.
  • Times and monitors the actual exam as specified in the Proctor’s Guide.
  • Assists in collecting exams from students upon exam completion.
  • Assists in setting up and returning tables and chairs to the prior set-up per facility guidelines.
  • Attends all mandatory proctor trainings and meetings.
  • Participates in the Agency’s Quality Improvement Program.

MINIMUM QUALIFICATIONS: KNOWLEDGE, SKILLS AND ABILITIES
  • Knowledge of software and database applications needed to perform job functions. Possess computer literacy skills. Knowledge of database applications including Microsoft applications, and ability to navigate the Internet including the Department of Children and Family website.
  • Possess working knowledge of Child Care programs.
  • Ability to project positive image of the 4C organization and its programs.
  • Possess excellent interpersonal and communication.
  • Ability to follow through to bring a task to completion and attention to detail.
  • Ability and willingness to work a flexible schedule including evenings and weekend assignments including Saturdays.
  • Ability to work well in a multi-ethnic and multi-cultural environment with students and staff.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar in order to communicate effectively with exam students and others.
  • Knowledge of office practices and procedures.
  • Ability to demonstrate excellent customer service skills. Ability to multi-task and oversee 20 students taking exam.
  • Ability to gain knowledge of “Proctor’s Guide for Child Care Training Exams”.
  • Excellent oral and written communication skills.
  • Ability to maintain confidentiality.
  • Ability to direct exam takers on testing procedures and to oversee the testing process.
  • Ability to work independently and be self-motivated to achieve goal.
  • Ability to give verbal instructions.
  • Ability to remain flexible in changing environment.
  • Ability to monitor other individuals to ensure that accurate procedures are followed by exam takers and take corrective actions, if necessary.
  • Ability to work and communicate with people from various multi-cultural backgrounds and socio-economic levels.
  • Sensitivity to the needs, abilities, beliefs, and attitudes of individuals within and outside
  • the Agency, including but not limited to customers and co-workers.
EDUCATION AND EXPERIENCE:
  • Graduation from an accredited college with an Associate’s Degree in Education or a related field.
  • Experience working with confidential information/ materials.
  • Customer service experience.
  • Monitoring experience preferred.
  • Experience in any kind of instructional activity preferred.

LICENSES, CERTIFICATIONS OR REGISTRATIONS:
Possession of a valid Florida Driver’s License and daily access to reliable transportation to and from work, and for travel related to job duties.
SALARY : $32,760 TO $36,036.00 starting
