Job description

The Department of Electrical and Computer Engineering (ECE) at Carnegie Mellon University (CMU) has an opening for an Academic Services Coordinator at the Pittsburgh campus. We are looking for a dynamic individual to add to our team. The ECE Department, part of the College of Engineering, is a diverse academic community just shy of 1,400 individuals (faculty, staff, and students) and includes global research and teaching efforts through extensions of our Pittsburgh academic programs and research in Silicon Valley, Portugal, Africa, and Thailand.
In this role you will report to the Director of Advising & Academic Services and will serve as an integral member of the Academic Services Center team. You will provide complex administrative and programmatic support to several key academic areas and processes. The ECE Academic Services Center (ASC) is a fast-paced center serving one of the largest departments at CMU. We are a world-class academic and research department and institution, seeking a highly motivated and reliable individual who excels at multitasking. Responsibilities include:

  • Primary course support contact for ECE instructors.
  • Primary office coordinator for the Academic Services Center (ASC).
  • Provide assistance with course material preparation, collection, distribution, and archiving.
  • Hire and supervise the ASC team of student employees.
  • Greet and engage with visitors in the ASC.
  • Monitor and respond to faculty requests through a ticketing system.
  • Assist with grade entry and change of grade forms.
  • Help coordinate and maintain course information in Canvas, the University's learning management system.
  • Manage course material archives for ABET accreditation, and follow University disposal policies.
  • Plan and coordinate end of semester class poster sessions and project demonstrations.
  • Process course related purchases.
  • Work with ASC team to provide course scheduling support by using department and university systems to schedule various course meetings.
  • Serve as a backup to other Academic Services Center team members
  • Work with counterparts in other departments and other campus constituents to ensure smooth operations.
  • Participate in the planning and implementation of student activities and events including the ECE Diploma Ceremony; attendance at the annual department ceremonies during Commencement weekend is a requirement of this position.

Qualifications:
  • Associates degree or equivalent combination of training and experience preferred
  • 5+ years of related experience with office administration and customer service processes or applications
  • Experience working across teams and supporting multiple functions and people
  • Proven working knowledge of office processes, and student/academic management systems and procedures preferred
  • Excellent interpersonal, analytical, organizational, reasoning and problem solving skills
  • Ability interact effectively with a diverse faculty, staff and student body
  • Excellent verbal and written communication skills
  • Strong knowledge of MS Office applications (Word, Excel, Power Point, and Outlook)
  • Proven ability to work effectively on a team that cultivates a versatile and collaborative professional environment.
