Job Description
- Work from contracts, cross rental forms, equipment return forms, vehicle inspection lists, reply memoranda, driver logs, and other similar documentation.
- Assist with the preparation of loads in and back to the warehouse as required. Load truck to ensure proper positioning of product and secure load to avoid shifting or damage in transit.
- Plan trips for most economical and efficient routing and to ensure timely delivery of orders. Conduct pre-trip inspections of vehicle, checking fluid levels, operation of mechanisms, and safety systems. Replenish required fluids.
- Drive to designated delivery locations, operating within legal parameters for weights, hours, and speed, and in compliance with all defined regulations. Time the delivery of load to fulfill order requirements and maintaining security of load. Locate lodging as required, which is in compliance with company policy and with secure available parking for vehicle. Record hour’s driven and other required data on vehicle log.
- Locate and identify appropriate venue and receiving location and comply with dock procedures. Direct and participate in the unloading of truck. Ensure the security of truck and remaining contents and coordinate the delivery of product to specified client. Obtain signatures, printed name, date, and time of delivery from technicians or client contact and document other delivery information, provide for count and identification of product as required, and represent the organization’s interests with the client. Obtain required C.O.D. documentation and follow specified procedures to collect payment from clients as required. Perform required routine set up of audio visual equipment for clients as required.
- Maintain communications with manager and report any unusual circumstances. Maintain availability for work within area of venue, during business hours as required. Pick up freight from airport in area of venue and deliver to technician or client as required. Handle shipments, via methods prescribed by the technician or main office, of equipment to other shows or returns to the main office as directed. These methods include, but are not limited to, Fed-Ex, UPS, airlines, or other carrier services as directed by the technician or main office. Arrange for safe vehicle storage as required during run of contract. Arrange for vehicle repairs as required while away from company facilities. Assist technician with setup or striking of show at venue as required. Arrange for transportation to airport and take designated return flights as required to maintain work flow during long shows.
- Return to venue to pick up product following striking of show. Direct and participate in the loading of truck to ensure proper positioning of product and secure load to avoid shifting or damage in transit. Obtain signatures, printed name, date, and time of pick up from technician or client contact and check receipt of product against contract or cross rental form, note discrepancies, and document product pick up where contract is not available. Plan trip to arrange for timely delivery of returned product to warehouse and participate in the unloading of truck. Stage returned product in designated location and tape load in designated color to indicate load status.
- Complete vehicle operating logs. Follow defined schedules to perform periodic vehicle inspections in accordance with procedures. Check tire pressure, fluid levels, insurance and registration documentation, contents of emergency audio visual accessories inventory, road emergency equipment inventory, and other requirements. Document inspection and report on discrepancies and the need for repairs. Perform routine maintenance operations on vehicles, replace lamps, change tires, and add fluids. Fuel vehicles as assigned, record fueling data on receipts and make and submit copies in keeping with prescribed procedures. Complete expense vouchers as required to account for run expenses.
- Assist warehouse staff, managers, and others to prepare loads, maintain documentation, and clean warehouse. Receive and ship freight from warehouse using approved carriers, such as, but not limited to, Fed-Ex, UPS, etc. Prepare labels for said shipments, document incoming and outgoing freight on log sheets, and file documents accordingly. Insure shipments are secure for outgoing freight and inspect incoming freight for damages and report if necessary to the proper authority any discrepancies.
