Donor Database Administrator
The Donor Database Administrator provides support in data entry, analysis, and reporting for the Fund Development Department. A key members of the Fund Development team, this individual has primary responsibility for the accurate and efficient management of the organization’s constituent database and related software. They are responsible for receiving and processing all financial gifts in Raiser’s Edge NXT and providing prospect research using ResearchPoint.
The Donor Database Administrator will manage Raiser’s Edge NXT database with a constituency of 22,000 current records, including donors, funders, board, committee members, event registrants, and community partners. Prepare daily Cash Receipts Journal for reconciliation with Finance Department. Liaise with Finance Department to audit and reconcile financial records and keep track of pledges and payment schedules. Record and update relevant constituent and gift information. Maintain integrity of database through regular audits, data clean-ups, address updates, and duplicate record identification.
This position includes managing all aspects of Raiser’s Edge NXT including: gift processing and entry, reconciliation, composing and generating gift acknowledgment letters. Complete daily gift entry of gifts received by mail, one-time and recurring credit card gifts in a timely and accurate fashion. Prepare gift acknowledgment letters within 24-48 hours of receipt of gift and distribute for Executive Director’s signature. Prepare and send notification letters for memorial and tribute gifts. Prepare and send pledge reminders.
In collaboration with the Fund Development Team, strategize and prepare mailing lists for all direct mailing and digital campaigns, annual events, and other programs. Create and maintain online donation forms using Online Express and NXT.
Manage all aspects of RearchPoint including submission and integration of Affluence Insight updates. Provide reports, queries, dashboards, mailing lists, donor lists, and exports to support Development efforts on a routine and as-needed basis. Support the Executive Director and Chief Development Officer by providing prospect research reports on constituents, donor profiles, and receipt of donations $500 and above.
The Donor DataBase Administrator will attend webinars and trainings and otherwise keep current on changes and enhancements to Raiser’s Edge NXT and other relevant Blackbaud products. Provide technical support, maintaining best practice documentation, and training to team members to enhance end-user proficiency, skills, and professional development with regards to Raiser’s Edge database and data best practices.
Other duties could include processing requests for records related to the House of Provident Orphanage, St. Vincent’s Asylum for Girls, St. Mary’s Hospital, and the Villa Gerard. As well as providing support to Reception including daily breaks, vacations, and emergency coverage.
Pay for this position is $25.00. Full Time, On site Monday to Friday
Education and/or Experience Required at Entry:
High school Diploma, Technical degree preferred.
Relevant experience required
- Experience with Raiser’s Edge preferred
Licenses/Certificate/Clearances:
- Valid N.Y.S. Drivers License,
- N.Y.S. Child Abuse Registry clearance.
