Job Title: Donation Logistics Supervisor I

Location: Remote

Schedule: 7, 12 hour shifts per two week pay period from 5:45pm-6am

*Training will take place on day and night shift

Exemption Status: Non-Exempt

Position Summary:

Responsible for arranging logistics of IDN team members, medical equipment, transplant partners, specimens, recovered organs, return of donors and tissue as requested. This position has the authority to formulate, affect, interpret, and implement management policies and operation practices, and waive or deviate from established policies and procedures without prior approval.

Essential Functions and Performance Responsibilities:
  • Effectively manage and coordinate logistics for tissue, organ, and eye case activity.
    • Manage logistics to support the work efforts of clinical staff to meet activity.
    • Provide a high level of customer service while effectively communicating with internal and external partners and customers via multiple communication channels.
    • Problem solving working both independently and collaboratively with internal and external partners.
  • Provide assistance and support throughout donation process
    • Collaborate with IDN clinical staff to coordinate case management and recovery timelines, and work to resolve issues that arise during the donation and recovery process.
    • Choose recovery site, assemble recovery teams, problem solve with on-site tissue staff and provide clinical and logistical expertise and leadership in all areas of the donation process.
    • Document concurrent and accurate information into iTx.
    • Maintain awareness of all active referrals.
    • Notify tissue team members of donor arrival.
    • Collaborate and update organ teams on logistical times and arrangements
    • Collaborate and notify Iowa Lions Eye Bank of recovery times and logistics.
  • Participate in scheduled meeting and training sessions to maintain proficiency.
    • Complete QA requests within five (5) business days.
    • Attend and actively participate in all organizational meetings, staff meetings, and training sessions as measured by attendance sheet. Any missed meetings should be made up within one week of meeting.
    • Identify training opportunities to ensure work accuracy including recognition of trends. Complete competencies annually.
  • Perform training with new staff or staff learning additional job functions and document that information on training forms.

Additional Job Functions:

  • Provide organizational phone support as needed including business lines and transportation coordination.
  • Participate in peer interview process
Position Qualifications and Education Requirements:

A minimum of a two-year degree in a health field, funeral service, nursing or paramedic certification/one-or-more year health care related experience; or a combination of education and experience providing equivalent knowledge. Minimum of one year experience with organ or tissue donation. CTBS preferred.

Skills and Abilities:
  • Ability to use critical thinking skills and work effectively in high stress situations.
  • Skill and ability to effectively use computers and computer software including word processing, databases, spreadsheets, Internet tools, and electronic mail.
  • Demonstrated ability to handle multiple tasks and prioritize based on level of importance.
  • Effectively communicate both verbally and in writing when representing IDN; work well with others; take and give direction; demonstrate effective problem-solving skills; ability to work both independently and collaboratively.
  • Proven ability to be self-directed and work independently.
  • Ability to be flexible in a dynamic work environment.
  • Skill in establishing and maintaining relationships with internal and external customers.
  • Ability to coordinate and collaborate in a team environment.
Physical and Technical Requirements:
  • Receives the use of an IDN issued phone and physical ethernet cable connection from the wall of the home to the workstation.
  • Sit for 12 hours or more in a designated remote call setting.
  • At peak times, may be called in to provide assistance when not scheduled.
  • Must have a high level of customer service and ability to communicate to a diverse audience.
  • Lift equipment and supplies weighing up to 20 lbs.
  • Possible mental and visual fatigue associated with detailed work.
  • Express ideas verbally and convey detailed or important spoken information.
  • Receive detailed information through oral and auditory communication.
  • Must receive required vaccines based on outlined schedules to protect our employees, healthcare personnel, donors, recipients, and families we may come into contact. (e.g., Influenza obtained annually by December 1st and COVID vaccine upon required timeline.)

  • Employee’s obligation to maintain the confidentiality of information shall survive the termination of employee’s employment with IDN.
