Job Title: Donation Logistics Supervisor II

Location: Remote

Exemption Status: Non-Exempt

Schedule: 7 Shifts per 2 week pay period

Hours: 6pm-6am

Position Summary:

This position is the sole point of communication with funeral homes throughout the donation process, coordinates the transportation of donors, and manages the Iowa Donor Network (IDN) Fleet logistics. Additional responsibilities include overseeing the coordination of corneal recovery with Iowa Lions Eye Bank (ILEB) staff.

Essential Functions and Performance Responsibilities:
  • Efficiently manage funeral home communication and documentation of tissue, eye, and organ recovery cases
    • Follow Iowa Board of Mortuary Science regulations and IDN policies and procedures
    • Provide timely notifications to receiving funeral homes
    • Coordinate all necessary donor transportation and disposition requests with receiving funeral homes, Donation Logistic Supervisors I, Licensed Funeral Directors, Embalmers, and Transportation Assistants
    • Complete Day After Donation calls/texts with donor families
  • Effectively manage and coordinate logistics for tissue, organ, and eye case activity
    1. Communicate case details with ILEB and coordinate recovery times and locations with ILEB staff and external partners
    2. Manage logistics for the IDN fleet
    • Provide a high level of customer service and clear communication via multiple communication channels
    • Problem-solve any issues that arise during the donation and recovery process
    • Work both independently and collaboratively with internal and external partners
  • Provide assistance and support throughout the donation process
    • Document concurrent and accurate information into iTx
    • Maintain awareness of all active referrals
    • Communicate logistical timelines to IDN recovery staff
    • Complete QA requests within five (5) business days
  • Participate in scheduled monthly meetings and training sessions to maintain proficiency
    • Attend and actively participate in all organizational meetings, staff meetings, and training as measured by attendance sheet. Any missed meetings should be made up within one week of the meeting
    • Perform training with new team members or those learning additional job functions while maintaining proper documentation
    • Identify training opportunities to ensure work accuracy, including recognition of trends. Complete clinical competencies annually

Additional Job Functions:

  • Provide organizational phone support as needed, including business lines and transportation coordination
  • Participate in the peer interview process
Position Qualifications and Education Requirements:

A degree in mortuary science with a current Iowa Funeral Director’s license is required.

Skills and Abilities:
  • Ability to use critical thinking skills and work effectively in high-stress situations
  • Skilled in using computers and computer software, including word processing, databases, spreadsheets, Internet tools, and electronic mail
  • Demonstrated ability to prioritize based on the determined level of importance
  • Proven ability to be self-directed and work independently
  • Flexible in a dynamic work environment
  • Skilled in establishing and maintaining relationships with internal and external customers
  • Ability to coordinate and collaborate in a team environment
Physical and Technical Requirements:
  • Requires the use of an IDN-issued phone, laptop, and physical ethernet cable connection from the wall of the home to the workstation
  • Sit for 12 hours or more in a designated, distraction-free setting
  • At peak times, may be called in to provide assistance when not scheduled
  • Must have a high level of customer service and the ability to communicate with a diverse audience
  • Lift equipment and supplies weighing up to 20 lbs.
  • Possible mental and visual fatigue associated with detailed work
  • Must receive required vaccines based on outlined schedules to protect our employees, healthcare personnel, donors, recipients, and families we may come into contact. (e.g., Influenza obtained annually by December 1st and COVID vaccine upon required timeline)
