North Wind Solutions is a Government contracting small business with operations at military and civilian installations across the United States. The company's focus is facilities operation and maintenance, waste management and radiological services, security control and force protection, and environmental services.
POSITION PURPOSE:
The Document Control Specialist is responsible for performing a variety of tasks that support configuration management, Document Control functions and vendor submittal services as well as basic records management tasks. This scope includes but is not limited to possessing a basic understanding of configuration control and/or Document Control principals.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Vendor Information Processing-Process, maintain, and provide information copies of approved vendor information consisting of, but not limited to, performance specifications, component data, parts numbers, fabrication, and installation drawings.
- Document Release Services-Provide document release and configuration status accounting for technical information, including completeness reviews; posting to the status control system; distribution, research database as requested, maintain metadata standards, change status verification, accountability reporting, and change incorporation support.
- Essential and Support Drawings-Ensure the Essential and Support Drawing files are maintained and current through inspection of the files and by placing new or revised Essential and Support drawings into the files.
- Controlled Print Files - Ensure Essential and Support Drawings are maintained and current through inspection of the files and by placing new or revised Essential and Support drawings into the files.
- Controlled Document Management - Provide distribution of controlled documents to identified personnel. Provide support in the receipt, review, and processing of controlled distribution of identified documents.
- Process a variety of technical and administrative document types.
- Peer and quality checking capabilities as well as basic records capture practices using standard site software.
- Provide guidance and/or determinations on records management solutions/issues to management, customers, and colleagues.
- Participate in implementation activities and monitor the results.
- Provide excellent customer service to site contractors and the Department of Energy.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
- Provide project files records management support, including receipt, distribution to satellite locations, maintenance, retrieval of associated records, and providing copies of requested information for project personnel.
- Provide Office of Civilian Radioactive Waste Management records management support
- Participate in the process relative to Document Control and Records Management corrective actions (e.g., audit/assessment responses, Required Reading, etc.).
- Participating in audits/assessments, when requested.
- Provide document and record files management support to requesting organizations (e.g., QA, Engineering).
- Create and maintain training courses and materials and user guides to enable efficient system usage.
- May provide input to the development and revision of procedures, methods, and tools to manage database and system migrations.
- Participate in implementation activities and monitor the results.
- Ability to provide guidance and/or determinations on records management solutions/issues to management, customers, and colleagues.
- Identification and interpretation of requirements found in desk guides, site procedures and federal/NARA requirements.
- POC in Leads absence.
- Perform other duties as assigned.
MINIMUM QUALIFICATIONS:
Education and Experience:
- Associate degree in a related field or equivalent combination of education and experience.
- Or minimum of three (3) to five (5) years of experience in a Document Control, Records Management, Administrative or Clerical Support role.
- Experience managing, and/or implementing, document lifecycle processes for a portfolio of documents.
Skills and Abilities:
- Highly organized and detail oriented with strong follow-up skills to manage large volumes of documentation.
- Proficient written, verbal, and presentation skills necessary to effectively collaborate in a multi-disciplinary team environment, as well as the ability to work effectively with minimal guidance.
- Ability to understand priorities.
- Working knowledge of Document Management and Control System (DMCS), Smart Plant Foundation (SPF) and/or Hanford Document Numbering System (HDNS)
- Integrated Document Management System (IDMS)
- Ability to work independently or as a member of the team.
- Familiar with the use of alpha/numeric filing systems
- Familiar with the use of scanning equipment
- Excellent written and verbal communication skills.
- Have a team-player attitude and positive outlook.
- Proficiency in computer skills
Special Requirements:
- Must pass pre-employment background check.

PREFERRED QUALIFICATIONS:
- Bachelor's Degree in a related field
- Three (3) to five (5) or more years of experience as a Document Control Clerk/Specialist or similar role.
- Experience with Document Management and Control System (DMCS), Integrated Document Management System (IDMS), or Smart Plant Foundation (SPF)
PHYSICAL DEMANDS:
This position is primarily sedentary in nature. The work involves sitting most of the time but may involve walking or standing for brief periods of time. The work may involve exerting up to 10 pounds of force occasionally or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body.
WORKING ENVIRONMENT:
Works mainly in typical office environment. The noise level in the work environment is usually quiet.
