Performs professional assistance work in support of the Traffic Safety Division, reporting directly to the Division Director. Work requires extensive contact with middle and high-level managers, executives, officials and private entities. May serve as a lead worker. Employees at this level are virtually self-supervising and assume direct accountability for the work product.
Essential Duties:
- Analyzes and interprets detailed policy and procedures and its impact to the division.
- Answers the telephone, evaluates requests, answers questions, routes messages, and serves as receptionist or front desk assistant.
- Collects information from the files for routine inquiries; refers non-routine requests to supervisor or appropriate staff.
- Develops, executes and completes a wide spectrum of special projects, including planning and implementation of Traffic Safety/Maintenance division conferences.
- Maintains files, records, and logs, tracks progress of activities and coordinates work to meet due dates.
- May serve as a lead worker and the related tasks.
- Prepares and verifies time sheets, vacation and sick leave forms, career planning profiles, travel statements and other personnel forms for the Traffic Safety Division's staff.
- Oversees and prepares letters, memos and reports; proofs and edits for grammar, punctuation, sentence structure and clarity.
- Schedules and coordinates meetings and appointments; makes travel arrangements; completes travel expense accounts and vouchers.
- Trains employees on personnel and clerical policies and procedures.
- Performs other job responsibilities as assigned.
Minimum Qualifications:
Education: High School Grad or equivalent in general education
Experience: 5 years administrative support or administrative management experience (Experience can be satisfied by full-time or prorated part-time equivalent.)
Substitutions: College education or relevant technical training may be substituted for experience on a year per year basis. Substitutions for Minimum Qualifications
Licenses and Certifications:
- Valid driver's license. This position requires driving a state vehicle

Physical Requirements and Working Conditions:
- Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
- Sitting - prolonged periods of time
- Repetitive Motion-substantial movements of the wrists, hands, and/or fingers
- Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading
