The University of Virginia's Division of Student Affairs is seeking to fill the role of Director of StudentAffairs Space Planning and Management. Spaces range from the Rotunda and other buildings in the historic center of Grounds, to the brand-new Student Health & Wellness Center. In this position, the Director is responsible for supervising the planning, renovation, and maintenance of approximately half a million square feet of multiple complex existing facilities, and planning, fundraising, and construction of possible new facilities involving considerable spending in the millions of dollars. Some of this spending is contingent on the evolving plan for the second-year program and fundraising for capital projects. Collaboration with key stakeholders such as the Office of the Architect and Facilities Management is vital to ensure optimal functionality and adherence to standards.
The Director assumes a leadership role in managing facilities and project services within the Student Affairs division, with a specific focus on preserving and enhancing existing assets. The responsibilities include leading, directing, managing, and coordinating staff, functions, and activities related to the facilities within Student Affairs, including building maintenance, grounds maintenance, housekeeping services, and general oversight of the division's facility assets. The objective is to foster collaboration across departments and work closely with Facilities Management (FM) and contractors to uphold high standards of facility care, appearance, and operational efficiency.
Key Responsibilities:
Facilitate Facilities Planning and Execution:
- Oversee the planning, design, and execution of renovation and construction projects associated with the Division of Student Affairs - including the various student activities spaces.
- Supervise the development of agreements with professional consultants, negotiate service fees, and manage required plans and specifications. Work together with the Office of University Counsel to ensure proper execution of these agreements.
- Collaborate with student organizations to ensure that student life spaces meet the evolving needs and aspirations of the student community.
- Work closely with Facilities Management to ensure that Student Affairs Spaces are not only well-maintained but also create an environment that fosters student engagement and success. Day to day liaison for all active renovation and new construction projects in Student Affairs Spaces.
- Coordinate Student Affairs activities with other projects on Grounds. Recent examples include Student Health and Wellness, Newcomb Road Chilled Water Line Installation, Contemplative Commons, MTHW piping project, utility infrastructure for Emmet/Ivy, second year residential areas, etc.
- Development of scope, bidding and scheduling of non-capital projects planned as well as execution. 60% to 80% of non-cap work is performed in-house.
- Coordinate planned work with partners.
- Develop the Memorandum of Understanding pricing and associated services levels annually with FM Operations.
- Manage service levels and expectations with Facilities Management for on-going building and grounds services in all residence halls including ensuring the best value possible. Work with FM to ensure the desired level of service in Student Affairs buildings; in the auxiliary spaces, recommend whether maintenance work for facilities is completed using FM or other providers.
- Track contracts and MOU's for university maintenance, custodial, and grounds needs and inspect and approve maintenance or service work performed by contractors.
- Engage with students to identify opportunities to integrate technology solutions that enhance the functionality and usability of our facilities, ensuring seamless operations that resonate with the tech-savvy student body.
- Manage all relationships with service providers and partners to ensure acceptable service provision in Student Affairs Spaces. Our partners include many Facilities Management departments, Risk Management, EHS, University Mail Services, Dining/vending, and others around conference facility support and annual events such as Opening, Closing, Graduation, Reunions, student sponsored programs, etc.
- Provide a strong quality assurance program that includes the routine inspection of buildings to assess service levels and building/unit readiness.
- Coordinate utility outages as needed with FM.
- Determine appropriate levels of access for those working in and around Student Affairs Spaces.
- Apply for annual one time permits as needed for project work, fire pits, staging, staking, etc.
- Work with others to ensure that policies/procedures meet Student Affairs needs.
- Review facility damages due system failures, weather, or vandalism. Work with FM and Risk Management as needed.
- Partner with UVA Facilities Management to plan renovation and new construction projects.
- Prepare and administer budgets based on desired maintenance levels, plans for repair work, and construction project goals.
- Strategically plan and manage spaces in ways that best meet the University's 2030 goals and Division's mission. This includes planning for office space, programming space, and/or revenue-generation, as well as applying expertise in design, access and technology to help us best steward the Division's physical resources.
- Work in collaboration with student groups and organizations to optimize space utilization, aligning it with the Division's mission, and supporting student-led initiatives.
- In those cases where revenue streams are desired, develop and implement strategies to increase revenues, through rental agreements, partnerships, etc.
- Partner with Division colleagues to develop a plan for Event Services across the Division's spaces.
- Provide guidance, direction, and support to the facility managers across Student Affairs to ensure effective operations and high-quality service delivery.
- Ensure compliance with relevant regulations and standards governing maintenance and distribution services.
- Serve on University committees relating to this work, at the request of the Vice President for Student Affairs.
- Actively engage with student representatives and participate in student committees and initiatives that relate to facility management and planning.
- Develop and implement a system to track data relating to facilities that is provided for compliance, accreditation, and peer review purposes.
- Choose and install technology such as access, security, wayfinding, and audio video systems
Minimum Requirements:
- Experience: At least 10 years of progressively responsible management experience in project development and execution, and the operation, maintenance, and construction of buildings. Bachelors' degree required. Master's preferred.
- Licensure: Registration as a professional engineer, project manager or architect preferred.
- Demonstrated commitment to a student-centered approach, with a focus on optimizing Student Affairs Spaces to enhance the overall student experience and aligning facilities Planning and Management with the university's goals for student engagement and success.
- In-depth knowledge and understanding of strategic facilities planning, construction, and maintenance processes within a university setting.
- Familiarity with building systems, equipment, and technologies relevant to facility management.
- Strong leadership abilities to guide and oversee a team, including hiring, training, supervision, and mentorship.
- Ability to work in cross-collaborative teams.
- Demonstrated commitment to a student-centered approach, with a focus on optimizing Student Affairs Spaces to enhance the overall student experience and aligning facilities Planning and Management with the university's goals for student engagement and success.
- Familiarity with healthcare facilities operations and compliance regulations.
- Proficient in resource coordination, budget administration, and strategic planning to ensure efficient facility management.
- Skill in managing renovation and construction projects, including planning, execution, and budgeting.
- Ability to oversee multiple capital projects, ensuring they are completed within specified timelines and budgets.
- Excellent negotiation skills to collaborate with professional consultants, contractors, and stakeholders to achieve favorable agreements and service fees.
- Strong communication skills to liaise with various university units, stakeholders, and external partners for effective coordination and alignment of goals.
- Thorough understanding of relevant regulations, compliance requirements, and industry standards related to maintenance, construction, and facility management.
- Proficiency in Planning and coordinating facilities and services for major university-sanctioned public events to ensure smooth execution and exceptional experiences for attendees.
- Skill in implementing and managing a computerized preventative maintenance program for facilities and related equipment to ensure optimal functionality and longevity.
The hiring range for this position is $145,000.00-$175,000.00, commensurate with qualifications and experience. Employment is contingent on successful completion of a background check. This is an exempt-level position with UVa benefits. Employees' benefits package highlights include:

Will require frequent traveling, standing, and climbing stairs to access buildings and facilities in order to assess conditions and review facility projects. The position will require occasional light lifting, bending and stooping, in addition to the use of desktop computers in an office environment.
