Mezamé is an EMDR-specialized virtual therapy business on a mission to help everyone strengthen their mental resilience. We are motivated by the belief that EMDR is an underutilized, transformative therapy, and our therapists pair EMDR with modern counseling theories for a highly effective, personalized approach for each client. Our aim is to increase awareness of and access to EMDR by nurturing a community of exceptional therapists and providing a consumer-oriented experience to our clients. Our founding team reflects leadership in business, healthcare, technology, and EMDR therapy.
LOCATION: Remote work, with periodic in-person team events and the potential for in-office work in the future. Currently, our team of therapists is mostly licensed in Illinois, and they practice virtually and in-office (Lakeview) settings.
ROLE: We are seeking a highly motivated, passionate leader to manage the operations of our growing practice who can begin work immediately. The Director of Operations will collaborate closely with executive leadership & clinicians and oversee Mezamé’s practice operations, from marketing, billing and insurance, financial management, therapist recruiting & onboarding, HR, and practice policies.
Specific Functional Responsibilities
Marketing: Developing and executing cost-effective marketing efforts (e.g., managing social media activity, developing referral sources) that drive ongoing growth in the number of Mezamé client requests; also providing quarterly updates/overviews on marketing activity with the board to confirm alignment and/or solicit feedback/direction
Therapist Recruiting & Onboarding (Offboarding): Conducting effective ongoing recruitment, leveraging the network of all leaders, and demonstrating successful recruiting and seamless onboarding of the new therapists; also providing quarterly updates/overviews on therapist recruiting metrics with the board to confirm alignment and/or solicit feedback/direction
Client Load Optimization: Taking a primary responsibility to monitor and help manage to achieve toward ~20-25 sessions/week for each W2 (Full-Time) and ~15+ sessions/week for each W2 (Part-Time) and IC, in partnership with therapists
Insurance & Billing: Taking primary responsibility for collecting outstanding patient balances from clients and insurance and effectively managing third-party billing partners
Financial Management: Taking primary responsibility for quarterly financial management, including managing collaborative work relationships with relevant parties (e.g., accountant and Redeem Billing) and effectively managing accounting, bookkeeping, and payroll business requirements; monthly conducting budget review, updating of financial forecasts (with at least 6-12 months always forward projected); preparing quarterly financial reports for Mezamé Board and presenting key findings/updates, implications, and recommendations for cost-effective ways to do business to the board members as necessary
Policies: Partnering with Clinical Leaders and Client Services staff in developing recommendations for updates to Mezamé policies; proposing updates to the CEO and/or board and leading implementations of updated policies as needed
IT: Ensuring that basic IT needs for therapists and ongoing business operations are in place and providing adequate functionality, defining recommendations to the CEO and/or board, and leading implementation as needed
HR: Managing overall HR-related matters in partnership with Clinical Supervisors, including disciplinary actions, addressing personnel matters, implementing role transitions, identifying new hiring and promotion needs, defining potential office space needs, addressing additional employee benefit needs, and organizing Mezamé employee get-togethers - for all of these, defining recommendations to the CEO and/or board and leading implementation as needed
REQUIRED QUALIFICATIONS:
- Passion for enabling access to high-quality mental health services
- Love for operational processes, details, and efficiency
- At least five years of experience in operations management
- Experienced in financial forecasting and analysis
- Outstanding oral and written communication skills and organizational and time
management skills
- Demonstrated ability to adopt and implement new technologies and tools to an
organization
- Ability to build collaborative relationships and manage staff and partners remotely
- Deep empathy for the needs, concerns, and safety of clinical staff and clients
- Must be a self-motivated, entrepreneurial problem solver
- Knowledge of HIPAA, HR policies, and insurance processes
- Bachelors in Business or Health Administration, Masters preferred
