Job description

OVERVIEW 

Oversees all details of practice Clinical Operations for IVF and FET treatment including patient care and customer service.  Establishes systems and protocol to maximize effective relationships among sites to assure a fully integrated patient care and nursing team member experience.  Collaborates with the Managing Director and departmental managers to ensure effective communication required for optimal patient care. 

 

SCOPE

This exempt position reports to the Managing Director and supervises the clinical nurse manager, treatment nurses, medical assistants, and sonographers.

 

RESPONSIBILITIES

Leadership

  • Directs the department in a manner that commensurate with the mission, vision and values of the organization.
  • Provides leadership and direction for staffing in accordance with the organizational goals and objectives.
  • Assumes authority, accountability, and responsibility for the formal and informal direction of nursing team.
  • Demonstrates the ability to create, initiate and integrate new concepts and practices to improve nursing care and patient satisfaction.
  • Demonstrates skill in handling pressures, stress, and crisis situations.
  • Demonstrates receptiveness to change/new ideas.
  • Uses measurement and analysis with objectivity and foresight to make decisions. 
  • Supports the facilities’ philosophy, goals, and objectives.
  • Utilizes a systematic, problem-solving process to make sound decisions in a timely manner.

  • Recommends space and other resources needed by the department or service.
  • Participates in the selection of needed services not provided by the department/service or the organization. 
  • Builds relationships and effective communication with key stakeholders and other internal teams/departments.
  • Helps develop and implement fiscal policy, advice, and communication to ensure cross-functional teamwork required to efficiently focus efforts across the organization.
  • Provides clinical leadership; directs and leads the patient care team to provide meaningful clinical and operational performance information to key stakeholders.
  • Supervises, coaches, and develops his/her direct reports as well as influences and helps in the development of other patient care and clinical personnel.
  • Works with Managing Director to create clinical schedules/templates that both optimize patient journey and best utilize clinical staff

 Risk Manager

  • Responsible for assisting with Risk Management issues. 

 Clinical Operations

  • Proficient in querying reports from Practice EMR to maintain compliance with SART reporting on a monthly basis.
  • Assures adequate staffing of the clinical team, sufficient to the 363-day needs of the practice, to ensure optimal patient care and physician support. 
  • Provides resources and systems to assure orderly patient flow and necessary communications to demonstrate coordinated care and services to patients.
  • Creates and implements clinical operational policies and procedures for the clinical team to follow.
  • Establishes schedule and routinely visits satellite offices to assure optimal management representation and integration throughout the practice. 
  • Performs monthly nursing meetings, providing collaborative patient management by physicians and clinical staff.
  • Conducts monthly Chart Audit and Reviews for accurate nursing documentation in Practice EMR.
  • Actively communicates to nursing team areas of improvement for documentation. 
  • Continuously works with nursing team to ensure compliance with AAAHC requirements.
  • Drives implementation, staff adoption and successful usage, of Practice EMR by enforcing nursing documentation in all required modules.
  • Becomes a Practice EMR super-user

Medical Affairs

  • Provides staff support of quarterly Medical Executive Committee, including agenda development, dissemination, minutes, follow-up, etc.
  • Supports of Patient Care/Process Improvement Committees.

Continuous Quality Improvement (CQI)

  • Assures nursing department has ongoing performance improvement initiatives and assures access to information and resources necessary for ongoing enhancements.
  • Provides patient satisfaction information in an organized, timely and routine manner to provide staff with information upon which performance improvements are pursued. 
  • Supports executive director through incorporation of patient satisfaction/patient service measures.
  • Establishes systems to maintain the highest customer service standards throughout the practice.
  • Responsible for all OSHA related issues; and communicates with the Safety Officer.
  • Responsible for all HIPAA related issues; and communicates with the Privacy Officer. 
  • Establishes nursing department goals and tracks progress toward these goals for quality improvement, fiscal productivity, and patient satisfaction.
  • Monitors departmental productivity and takes concrete actions to reduce overtime.
  • Monitors departmental actions to ensure adherence to policies, procedures and AAAHC regulatory requirements. 

Patient Interaction

  • Provides initial visit counseling, IVF procedure teaching and scheduling of treatment.
  • Collaborates with Director of Patient Services and Managing Director regarding patient waiting lists, maintenance, scheduling cycles, and patient complaints related to nursing.
  • Provides medication instruction as needed
  • Provides patient counseling and anticipatory guidance.
  • Responsible for communication of physician orders and instructions.

 Team Communication

  • Reviews patient records for completion, including history and physical, appropriate lab work, nursing documentation and informed consent. 
  • Addresses patient treatment issues with clinical team.
  • Participates in meetings for review of patient results and instructions.
  • Interacts with physicians, counselors, embryologists, sonographers, medical assistants, lab staff, financial and administrative staff as needed for delivery of high quality patient care. 
  • Completes and encourages nursing team to complete appropriate paperwork for patient billing.
  • Attends program meetings and participates in patient education and shares information with nursing team.
  • Demonstrates understanding of providing cost effective care. 

Clinical/Technical

  • Performs new patient and educational follow-up consults with patients in accordance with physician treatment plan
  • Performs Pre-Operative and FET patient consults in accordance with physician treatment plan
  • Performs IVF/FET final consultations
  • Performs Intrauterine Inseminations (IUI) in accordance with physician treatment plan
  • Performs Hysterosalpingograms (HSG) in accordance with physician treatment plan
  • Provides medications instructions for IVF cycles including schedules, dosage, and administration.
  • Provides continuity of care by developing and implementing patient management plans.
  • Provides general women’s health information and education to patients
  • Follow up on Ovarian Hyperstimulation syndrome
  • Documents patient care services by charting in patient and department records. Uses clinical computer software.
  • Performs phlebotomy and medication administration.
  • Manages ambulatory GYN complaints throughout patient treatment, as necessary based on program protocols.
  • Manages ambulatory OB add-on visits throughout patient treatment, as necessary based on program protocols
  • Telephone triage of patient phone calls.
  • Provides referrals to appropriate MDs as necessary based on findings.
  • Reviews lab data and prescribes when necessary, according to established protocols.
  • Acts as clinical resource for support staff.
  • Acts as preceptor in training clinical staff.
  • Interacts with physicians, counselors. Embryologists, sonographers, medical assistants, lab staff, financial and administrative staff for delivery of high-quality patient care.
  • Completes appropriate paperwork for patient billing.
  • Works cooperatively to meet the goals of the program.
  • Demonstrates understanding of providing cost effective care.
  • Other duties as assigned by management

Referring Clinicians and Affiliate Providers

  • Coordinates patient treatment and services with affiliate providers.
  • Responsible for determining that appropriate paperwork has been received for patient treatment.

Professional Development 

  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications and establishing personal networks.
  • Participates in professional societies.
  • Follows all state regulations regarding certification.

FACILITY AND CLINICAL EQUIPMENT MANAGEMENT

  • Conducts environment of care audits to ensure facilities are safe and adequate to carry out nursing care.
  • Establishes a system for ongoing preventive maintenance, including but not limited to biomedical equipment, facility maintenance and housekeeping, and safety equipment/systems.
  • Evaluates options and presents recommendations related to clinical equipment acquisitions.

EXPENSES

  • Manages expenses to adhere to operations and capital budgets for all clinical departments.
  • Responsible for supply and inventory management for patient care departments.
  • Provides timely review and approval of purchases and payment of invoices. 

HUMAN RESOURCES

  • Coordinates recruitment, training, and retention of all clinical staff.
  • Monitors payroll expenses and provides periodic reports on compliance with budget, productivity, and overtime.

EDUCATION/EXPERIENCE REQUIREMENTS

  • Master’s degree in Nursing
  • Current state license without limitations required. 
  • At least 3 years in a nursing leadership role in women’s services, OB/GYN, labor and delivery, and/or infertility experience with a superior track record of growth and multi-site management.
  • Demonstrated expertise in continuous quality improvement, customer service and team building.
  • Strong project management skills including accountability and deadline management.
  • Ability to communicate accurately and concisely.
  • Ability to travel as needed.
  • Ability to work as part of a multidisciplinary team.
  • Familiar with AAAHC regulations.
  • Proficient with EMR systems.
  • Infection control/Risk management experience preferred.
