Job description

Summary:

Reporting to the Senior Vice Dean for Faculty Affairs and working closely with the Associate Dean for Faculty Affairs and other members of the Dean’s Office, the Directoris responsible for working with a high volume of confidential information related to full-time faculty appointments and must demonstrate exceptional tact, discretion, and attention to detail.  This individual will plan and manage the tenure review process, staff the School’s Promotion and Tenure committee, and be responsible for comprehensive management of many administrative processes in the Office ofFaculty Affairs.

 

Responsibilities:

  • Management of Faculty Appointments
    • Faculty Search & Hiring - Serve as Dean’s Office point person for faculty search and appointment processes, working closely with Dean’s Office and divisional staff, and Human Resources. Review, interpret and implement University policies regarding faculty appointments process (including Standard Search and Evaluation Procedures (SSEPs), Interfolio, and EOAA). Partner with the Human Resources department to meet appointment deadlines and to coordinate new and continuing appointment processing. Faculty Reviews - Coordinate the School’s annual review process for untenured faculty, providing direction to division, ensuring that reviews are shared appropriately with junior faculty, and that reappointments, promotions, and terminations are communicated to the faculty and the Provost’s office. Tenure & Promotion - Coordinate the School’s promotion and tenure processes, working with the Senior Vice Dean Faculty Affairs, Associate Dean for Faculty Affairs, the divisions, and the Office of the Provost to prepare and monitor external and internal tenure cases. Set up and maintain all cases and committee access in Interfolio. Recordkeeping - Ensure that faculty appointment-related records in all relevant systems are accurately and strategically managed.
    Management of Faculty Career Administration
    • Faculty Careers - Manage all processes related to faculty career progress, including but not limited to: annual reviews (including letters), leaves of absence, teaching load and off-term support mechanisms, and retirement/emeritus status. Managing these processes may involve tracking eligibility and career stage, understanding how to apply School-and University-policies, maintaining excellent records in appropriate databases, and communicating with faculty directly. Faculty Workload - Manage all processes related to faculty workload, taking into consideration teaching loads and additional work. Handle appropriate compensation processing for all faculty workload-related needs. Recordkeeping - Ensure that faculty workload-related records in all relevant systems are accurately and strategically managed.
    General Faculty Affairs Administration
    • Meetings - Manage key projects and processes in Faculty Affairs, including developing and executing processes and planning and executing meetings (faculty meetings, promotion and tenure meetings, standing and ad hoc meetings). Divisional Management - Work closely with the Directors of Academic Administration in each division to ensure that they are following School-wide processes and policies and, where possible, develop new processes to create efficiencies across areas.
    Other duties as assigned.

Education

Bachelor’s degree and/or its equivalent required.  Minimum 5-7 years of related experience required.

 Minimum Requirements

Demonstrated experience managing and executing complex, confidential, and detail-oriented processes. Strong project management, communication, and interpersonal skills. Ability to establish priorities and meet deadlines while executing sound independent judgment is critical. Technical facility (with a focus on spreadsheet/database use) is important.

 

Preferred Qualifications

Master’s Degree. 

Familiarity with academic administration and/or business education.

Commitment to Faculty Affairs and desire to develop a career in higher education administration.
