UUSA is organized under the laws of New York State as a not-for-profit corporation. As such, UUSA is a tax-exempt organization as defined under Section 501C(3) of the Internal Revenue Code and is governed by an independent, non-salaried Board of Directors.
Location: Remote/Flexible
FLSA Status: Exempt
• Salary: The estimated salary range for this position is $90,300 - $97,000. This midpoint for the salary grade is $102,000. Actual pay will vary based on various factors, including but not limited to relevant experience.
Position Description
Reporting to the Director of Data Management & Transformation, the incumbent will oversee Donor Revenue operations and data management, including incoming gift processing, monthly reconciliation, best practice policy and protocol development, gift agreement review, and data integrity. This position will be responsible for establishing and reinforcing organizational business rules and compliance across business systems to ensure efficient monthly reconciliation of revenue and timely and accurate recording and reporting of gifts. They will lead the development and implementation of team-wide, division-wide, and organization-wide policies, procedures, and protocols that optimize gift acceptance and ensure a robust system of high-quality services is in place. This role will be responsible for supervising gift processing specialists by providing guidance in IRS and GAAP best practices and regulations, effective project management, skill development, monitoring project progress, and working to remove roadblocks to enable the team's success.
Responsibilities:
Gift Processing Management (40%)
• Design autonomous systems for incoming revenue batching, ensuring efficient protocols are in place for gift coding for a complex variety of gift types, including white mail, stocks/wires, EFTs, etc., and advising on exceptional cases for immediate processing.
• Maintain secure cash handling and gift entry functions of the team, developing new workflows and managing new responsibilities of team members as needed; this includes the team's periodic in-person cash handling for the Change for Good program, whitemail, and other sources.
• Manage monthly reconciliation of transactional data with Finance partnering closely with the Deputy Director, Donor Revenue Management & Transformation to ensure that all gifts are committed, providing troubleshooting support for batch exceptions, gift uploads and financial reconciliation.
• Develop data quality control measures for ensuring the accurate entry of transactional and constituent data across staff teams and vendors.
• Co-manage relationships with lockbox caging vendors, monitoring quality control, shaping process improvements, and resolving outstanding cases, which includes the timely recording of donor correspondence and notifying the appropriate Philanthropy teams.
• Lead the fulfillment of in-house donor tax receipting, ensuring data is accurate and acknowledgement language is compliant with IRS requirements in partnership with Finance, Stewardship, and Special Events as necessary.
• Conduct ongoing trainings for fundraising teams and internal staff on new systems and evolving business rules, frequently collaborating with key stakeholders on quality control measures and testing.
• Identify and resolve systemic issues quickly and efficiently, escalating critical issues to the Director and/or Vice President, along with impacted teams and vendors for resolution.
• Respond promptly and professionally to outreach, inquiries and escalations, from both staff and donor audiences, including donor inquiries related to stock and wire transfers.
Policies, Protocols, & Procedures (40%)
• Lead development and implementation strategies for new policies and protocols to streamline financial controls, operational efficiency, and optimize business systems.
• Partner with the Director to establish industry best practice gift processing standards , grounding them in organizational workflows, terminology, and in the context of organizational readiness - particularly the Best Practices developed by the Association of Advancement Services Professionals (aasp) to ensure best-in-class operations.
• Serve as a primary liaison to Finance for joint policies and recurring processes that support the intersection of Finance and Philanthropy efforts, including but not limited to holding fund audits, pledge write offs, reconciliation, monthly close process, and gift agreement protocols.
• Collaborate with frontline fundraising teams on compliance with business rules and policies, creating tools and delivering trainings to support their fundraising success.
• Ensure that new protocols developed are communicated across the DRM team and made easily accessible to DRM partners across Philanthropy.
• Identify process improvements and their accompanying implementation strategies, inclusive of proactive communications with relevant stakeholders.
• Maintain updated documentation for all relevant policies and procedures to ensure there are no major gaps in the Donor Revenue Management team's body of work, incorporating new policies and procedures into existing structures.
• Develop best in class policies and procedures for handling gift acceptance policies, advising relevant teams on IRS rules regarding the recording and receipting of donations while ensuring the accuracy of revenue records.
• Manage organization's gift agreement protocol in partnership with Legal, Stewardship, and Finance, and fundraisers, and advise on finalizing the terms of gift agreements that balance donor interests, organizational policies, and standards of compliance. Act as a central resource for gift acceptance policies for the division in partnership with Vice President, Data, Insight, & Campaigns, General Counsel, and Stewardship.
Management (20%)
• Assign and manage projects to team members, providing guidance in effective project management, skills development, monitoring project progress, and working to remove roadblocks to enable success.
• Supervise Donor Revenue Management Specialists setting ambitious annual goals and data driven KPIs to manage staff performance.
• Migrate email protocols to ticketing queue and delegate assignments to team members, to manage SLAs and resolution times in partnership with the Deputy Director, Donor Revenue Management & Transformation.
• Train staff in performing accurate data entry, including designing and automating large-scale adjustment processes.
• Stay abreast of industry standards through educational and professional development opportunities, continually fostering staff growth and introducing recommended changes to staff responsibilities.
• Create a cohesive cross-training schedule and track milestones for advancement and coverage.

Minimum Qualifications
• Bachelor's Degree or equivalent required, and a minimum of 6 years of hands-on experience in digital gift processing, billing, or related data entry work, or the equivalent combination of education and experience;
• Fluency in revenue processing using CRM technologies (BBCRM) and financial management systems (NetSuite), inclusive of batching, keying, depositing, and reconciling revenue contributions;
• Extensive knowledge of industry standards, IRS regulations, and organizational policies, including knowledge of state, federal, and international regulatory laws and how they apply to fundraising;
• Expertise in aasp's Best Practices for Gift Administration and Information Management and demonstrated experience leading these efforts in a fundraising environment;
• Working knowledge of Generally Accepted Accounting Principles;
• Strong understanding in query logic techniques and tools used to modify, retrieve, and report data from donor database management systems; advanced reporting and/or query-building experience;
• Mastery/advanced proficiency with Microsoft Office (Excel, Power-point, Word) programs;
• Strong oral and written communication skills and the ability to collaborate strategically, creatively, and analytically with colleagues at a variety of levels across the enterprise;
• Highly organized individual with strong management and delegation skills, including the ability to prioritize and manage deadlines and do the same for a team;
• Scrupulous attention to matters of discretion and confidentiality required; ability to handle highly sensitive information appropriately and maintain confidentiality with donor information; knowledge of and adherence to ethical statements and guidelines by Apra, aasp, the Council for Advancement and Support of Education (CASE), and other related associations;
