We are seeking a highly organized and experienced Office Manager with 5+ years experience working in a Dental Office to oversee the administrative operations of our primary care PPO dental practice. As the Office Manager, you will be responsible for coordinating various office activities, managing the administrative team, and ensuring the smooth functioning of the practice. Your role will be pivotal in maintaining efficient workflows, promoting patient satisfaction, and supporting the growth and success of our dental practice.
Responsibilities:
Administrative Management:
-Oversee daily operations of the office, ensuring adherence to established policies and procedures.
-Manage the administrative team, including hiring, training, scheduling, and performance evaluations.
-Develop and implement efficient systems and processes to enhance productivity and workflow.
-Maintain office supplies and equipment, coordinating repairs and maintenance as needed.
-Monitor and manage office budgets, expenses, and financial records.
Patient Relations:
-Ensure exceptional patient experience by providing professional and friendly customer service.
-Coordinate patient appointments, handle inquiries, and manage patient records.
-Oversee patient billing and insurance claims, ensuring accuracy and timely processing.
-Address patient concerns and complaints promptly and with empathy, seeking resolutions.
Team Collaboration:
-Foster a positive and collaborative work environment among staff members.
-Collaborate with dentists, hygienists, and other dental professionals to optimize patient care.
-Coordinate staff schedules, meetings, and training sessions.
-Facilitate effective communication between different departments within the practice.
Regulatory Compliance:
-Ensure compliance with relevant healthcare regulations, privacy laws, and industry standards.
-Maintain up-to-date knowledge of dental insurance plans, coding procedures, and billing practices.
-Implement and maintain appropriate record-keeping and documentation systems.
Office Efficiency and Organization:
-Streamline office processes to maximize efficiency and productivity.
-Maintain accurate and organized patient records, including electronic health records (EHR).
-Manage the reception area, ensuring a welcoming and professional environment.
-Coordinate and oversee the ordering of dental supplies and inventory management.
Requirements:
-Proven experience as an Office Manager or in a similar administrative role within a dental or medical practice.
-Knowledge of Dental Office operations, including insurance billing and coding procedures.
-Must have experience with Dentrix Ascend practice management software .
-Excellent organizational, leadership, and communication skills. Strong attention to detail and ability to multitask in a fast-paced environment. Proficient in using computer software and office equipment.
-Understanding of regulatory compliance and privacy regulations in the healthcare industry.
