- Oversees Front Desk Admin staff in areas of customer service, scheduling, patient collections and payment arrangements, and phone etiquette.
- Handles escalated customer service questions as appropriate.
- Trains new front desk personnel and provides feedback for their development.
- Ensure procedures are being followed for patient scheduling, billing, and service.
- Register new patients according to established office protocols. Assist patients to complete all necessary forms and documentation. Verifies and updates new and current patient information.
- Inform patients of dental office procedures and policy
- Enter all relevant patient information into data system and maintain and manage patient records in compliance with privacy and security regulations.
- Schedule patient appointments. Confirm upcoming appointments and recalls according to office protocol
- Check daily and weekly appointment schedule. Proactively call patients to fill scheduling “holes” whenever possible.
- Arrange patient charts for next day appointments or at frequency as determined by the office manager
- Organize referrals to other medical specialists
- Dispatch lab work appropriately
- Collect and receipt payments from patients at time of treatment
- Inform patients of financial treatment plan options. Arrange payment schedule with patients
- Prepare and mail billing statements
- Prepare claim forms for dental insurance. Arrange supporting documents for insurance claims
- Maintain a professional reception area
- Adhere to HIPAA regulations to safeguard patient privacy and confidentiality
- All other duties as appropriate and as assigned
- 2+ years in a fast-paced dental office; high degree of proficiency using Dental Management System (such as Dentrix); demonstrated expertise in dental reimbursement billing
