Serving as the leader of the day-to-day operations for IOA's Adult Day Program at the Enrichment Center in the Presidio, this role will be responsible for the direct supervision a variety of staff roles who support participants at the Enrichment Center. This role requires a highly organized and proactive leader with dementia skills to ensure maximum efficiency and streamline operations in a highly dynamic team! Primary duties include participant assessments & care planning, 1:1 supervision and staff meeting facilitation, oversight of program operations, budget & billing management
The Enrichment Center Program Manager will provide oversight of daily operations at IOA's beautiful Enrichment Center in the Presidio, an adult Day Program for individuals with dementia and their loved ones.
This is not a hybrid role and requires on-site work 5 days/week.
Referral & Pipeline Management
- Actively engage prospective participants and their loved ones to maximize enrollments
- Lead weekly pipeline meetings to ensuring timely movement of Enrichment Center prospects through enrollment pipeline and resolve barriers quickly
- Facilitate tours of the Enrichment Center for prospects and referral sources as needed and oversee timely follow up after each tour to identify next steps
- Project census growth in reforecasting process
Record, Budget, & Billing Management
- Maintain accurate and up-to-date records for all funder & grant contracts using required systems
- Timely management of monthly billing including expenditures, vendor invoice approvals, generate & approve purchase orders/requisitions, and authorize billing
- Ensure expenses are on budget and make necessary adjustments
- Manage internal billing process for grants, city contracts, and private pay participants
- Maintain active approvals for all grant recipients
- Collaborate with IOA Finance and Accounting on budget development and reforecasting
- Accurately maintain participant files ensuring completeness, current information, and compliance with licensing requirements
- Conduct participant assessments
- Develop and monitor care plans for all participants, updating records as needed
Process improvements
- Assess service delivery and enhance operational processes to guarantee highest level of customer service
- Oversee employee engagement activities to promote high job satisfaction and retention
- Ensure annual client satisfaction survey completion for Enrichment Center
- Action plan for any identified areas of improvement and implement changes
Quality and Program oversight
- Facilitate daily morning meeting with participant-specific updates
- Implement evidenced-based practices and engage in impact studies/measurement activities
- Daily oversight of safety, programming, and overall quality control
- Collaborate with staff, transportation, nutrition, and other vendors to ensure timely delivery of service and contract compliance
- Oversee training implementation of various systems, including internal EHR, SF DAS required systems, CARES Training, and others
- Deliver all-staff trainings consistent with licensure requirements and as needed based on skills of staff
- Drive Title 22 licensure compliance in all areas, identifying areas of risk and implementing resolutions as well as maintaining effective processes
- Provide training and oversight of emergency planning activities, including always maintaining active participant emergency roster
- Continuously improve daily programming with staff and ensure dynamic & engaging activities occur throughout the day to ensure extraordinary experiences for participants and staff
- Evaluate program structure and recommend improvements for efficiencies and quality of service
- Ensure audit readiness and ongoing monitoring tasks to ensure compliance with state licensing regulations and other service contracts.
- Maintain Incident Reporting compliance in adherence to Title 22
- Partner with business leaders to prepare IOA for GUIDE implementation
Participant & family management
- In partnership with Senior Program Coordinator, ensure highest quality of customer service with all participants and loved ones.
- Proactively communicate with families any change in condition
- Ensure all new participants have a successful transition into the Enrichment Center and troubleshoot any arising issues promptly
- Assess participant need for increased attendance
Direct Supervision & Staff Development
- Lead Enrichment Center recruitment, hiring, and onboarding efforts
- Conduct biweekly 1:1 supervision meetings with all staff
- Facilitate biweekly staff meetings
- Provide ongoing coaching of staff & dementia skill development
- Seek opportunities for professional development
- Manage timecards, time off requests, and ensure adequate staff coverage to meet licensure regulations
- Approve personnel expenses
- Monitor performance of all Enrichment Center staff and collaborate with Companioa leader as needs arise
- As an Emergency Site Leader, maintain knowledge of all safety and emergency protocols to effectively direct staff, participants, and visitors.
Community Relations
- Present IOA's Companioa services to various community organizations through outreach activities & community relations activities
- Co-facilitate community meetings and support groups including some weekend and evening work
- Maintain strong relationships with stakeholders such as Ray Dolby Brain Health, Alzheimer's Association, and other critical partners
- In collaboration with Regional Director of Community Relations & IOA's Marketing department, actively seek opportunities for awareness raising and marketing to cultivate referral partners
- Collaborate with program liaisons at Veterans Administration, SF Department of Disability and Aging Services, and other grant/funders as needed
- Seek opportunities to highlight IOA's innovation and community education tools, including Embodied Labs, innovation Hub, and others
Other duties
- Support Enrichment Center program, including hands on care of participants, serving meals, and leading activities, as needed
- Actively participate in Companioa and IOA meetings
- Other duties as assigned.
EDUCATION: Bachelor's degree required
BACKGROUND AND EXPERIENCE:
- Five years of dementia workplace experience required
- Minimum 3 years of program & staff management
- Familiarity of Title 22 regulations required
- Passion for programming for older adults with dementia
- Excellent leadership skills to manage growing census and team
- Strong organizational skills with the ability to prioritize tasks and meet deadlines
- Ability to maintain effective relationships with a wide range of internal and external audiences
- Team player
- Excellent written and oral communication skills
- Computer proficiency in Microsoft Word, Excel, PowerPoint and Outlook

- Ability to lift 35 lbs
- Ability to reach, bend and walk
COMPENSATION:
Range: $ 87,016.00 - 110,049.25/annual
