Term of Grant/employment ends 9/30/2026. BSC RADaR DOL (Department of Labor Grant) Data Coordinator (Federal Grant Funding)

REPORTING RELATIONSHIP:
Is directly accountable and responsible to the BSC RADaR DOL (Department of Labor) Project Director.
RESPONSIBILITIES:
  • Responsible for leading data collection requirements and database management for the grant, including data entry, database maintenance, and analyzing program and participant data.
  • Responsible for providing office support to grant staff, including meeting logistics (agenda creation, note taking, facility requests, and follow up).

Position Description & Details
Create, maintain, and assure integrity of grant data, including data entry and database management - 60%
  • Collect and maintain accurate documentation and records of participant/student data, apprenticeship program pathways and wrap around services provided.
  • Enter data into appropriate software to track participant information.
  • Maintain the grant database, ensuring data integrity by properly entering data, regularly monitoring database information, and ensuring data security procedures are followed.
  • Generate customized queries and reports for grant activities to support the development of accurate quarterly and final reports associated with the BSC RADaR DOL grant outcomes.
  • Manage activities of third-party evaluator throughout grant period and compiles written support documentation for grant assessment.

Assist with the administrative details of the department - 30%
  • Provide advanced administrative assistance to the BSC RADaR DOL Project Director in activities such as generating and analyzing grant documents, quarterly reporting, and preparing modification requests.
  • Prepare, assemble, and/or distribute information, reports, surveys, questionnaires, or apprenticeship program information.
  • Reconcile purchasing card expenditures by providing appropriate account numbers and expense categories.
  • Coordinate meetings with Advisory Committee, businesses, industry groups, and other partners including agendas, facility arrangements, note-taking and ensuring follow up on outstanding action items.
  • Develop and maintain library of grant resources, templates, and best practices, using online project management system and other resources.
  • Maintain knowledge of grant policies, regulations and procedures and provide recommendations on process efficiencies.

Miscellaneous duties - 10%
  • Answer phones and emails, providing timely and accurate correspondence and excellent customer service.
  • Collaborate with Public Affairs and RADaR DOL Project Director on the production and distribution of public communications materials that identify the purpose, goals, and achievements of the grant objectives including newsletters, press releases, websites, social media, and written publications.
  • Perform other duties as required or assigned.

Minimum Requirements
  • Bachelor's degree or associate degree with two years of related experience. Preferred fields of study include business administration, office technology, finance, communications, or related field.
  • Demonstrated capacity to manage and analyze data sets, with excellent spreadsheet and database management skills (Microsoft Excel preferred).
  • Ability to effectively manage time, prioritize tasks, and recognize areas of improvement, which offering solutions.
  • Demonstrated ability to work effectively with stakeholders at all levels including diverse populations.
  • Advanced knowledge of computer software (i.e. Microsoft Office Suite: Excel, Word, Outlook, Teams) and experience with database creation and upkeep.
  • Organized, detailed, self-starting, ability to handle multiple activities and meet deadlines.
  • Excellent written and oral communication skills.

Preferred Qualifications
  • A high aptitude for learning and self-direction in computer programs.
  • Experience with data entry and working with large data sets.
  • Experience working with grants, especially federal grants.
  • Experience working in a community college.
