Yes Position Details Drug Screen No Background Checks Yes Position Description Position provides clerical support to the Arizona Department of Liquor Licenses & Control's Licensing Section. The Licensing Section provides for a customer's first point of contact into the department, to include walk-in service and phones, plus handles miscellaneous application fasks. Work is completed across a myriad of submission methods to include paper, phones, and electronic. A typical work day may include: - Greeting walk-in customers to the department; - Accepting and reviewing application types for assignment to second level support; - Completing second level support which includes formal review of completed applications; returning those requiring correction, or conducting data entry on complete and accurate forms into the department's licensing software system; - Transmitting application forms to external government agencies using a secure file transfer process; - Creating physical or electronic folders for accepted second level application files; - Scanning physical records into electronic files and then indexing documents into the proper filing category; - Daily receipt of mail to include mail log entries and updates; - Answering phone calls, and transferring customers to others in the department for support; - Standard use of copy machine for making copies of the many department application kits and forms and then replenishing forms bins; - Periodic checking of copy machine paper levels and replenish when needed; and - Miscellaneous other light duties and office support tasks as assigned. Skills Required Qualified candidates should be able to: - follow directions and instruction; - take notes; - meet timelines, deadlines, and schedules; - function in a team setting; - function independently; - draw conclusions and make reasonable decisions based on available access to materials, training, or general knowledge on office operations, or escalate to another office employee if unsure on appropriate next steps; - complete basic problem-solving; - maintain composure in face of challenging people and tasks; - read, write, and speak in English; - display business professional behaviors and appearance, - communicate verbally and in writing in a clear, respectful and professional manner; - answer phones, transfer calls, receipt messages, - use a computer, mouse, and keyboard; - complete data entry; - navigate through a Windows-based computer platform to access tools such as email, calendars, files, start menu, the internet, department-specific software applications and tools; - use basic email functionality, to include sending, saving, forwarding, responding to, printing, and similar email messages and electronic file attachments contained therein; - use a commercial office copy machine, to include making copies, making and sending scanned documents, collating documents, and adding paper to the machine on a scheduled basis; - file documents; - open and log mail; - receive and log commercial packages plus notify intended recipients of parcel arrival. Skills Preferred - Secondary language skills are a plus; - Use of Google office tools a plus; - Use of Microsoft Office tools a plus; - Use of Adobe Acrobat Pro a plus; - Use of secure file transfer processes a plus; - Reading, understanding, and applying complex laws in scenario-based question and answer sessions across both written and verbal exchanges. Experience Required Prior office clerical experience experience a must. Includes exposure to general tasks, duties and responsibilities as outlined in Position Description and Skills Required sections. Experience Preferred - Prior office experience specifically dealing with processing license applications; - Prior office experience batch scanning, indexing, and loading documents into a records management system; - Prior office experience with handling public records requests; - Prior cash handling experience; - Prior cashiering experience dealing with credit cards, wire transfers, and checks. Education Required High school diploma or GED Education Preferred Associates degree or above in business management, public administration, communications, or similar Additional Information This is a law enforcement agency. Candidates are required to participate in criminal and pre-employment background screening run by AZ Liquor Candiate will need a level 1 FCCP card.
