Job Brief: Ensures prompt answering of phone calls and emails; accurately process orders, contributions, and subscription fulfillment; informs the Membership and Literature Distribution Centers (LDCs) of pricing, shipping, and discount information. Provides prompt Customer Service via phone or email to members who place literature orders and The Forum magazine subscriptions and inputs contributions from members into the WSO database (IMIS)
- Specific Duties & Responsibilities:
- Inputs literature orders, contributions, The Forum magazine subscriptions into database.
- Assist customers via phone or e-mail.
- Research literature orders, The Forum subscriptions and contributions when member identification information is not provided.
- Handles the daily reconciliation.
- Prepares daily orders for processing.
- Receives returned mail and makes necessary changes or suspensions.
- Research and respond to correspondence regarding literature inquiries from members.
- Sends gift cards to new subscribers per The Forum giftee’s request.
- Prepares monthly the AR letters with invoices for LDCs/AIS and Bookstores
- Inputs subscription data into the system daily, including new, renewal, changes, suspensions, deletions, etc.
- Performs daily filing.
- Other duties as assigned.
Requirements:
- Speak, read, and write in Spanish in general business context
- Proficient on an alpha-numeric computer keyboard; data entry rate of 45 wpm with little or no errors
- Proficient in 10-key
- Basic skills in Microsoft 365 products (Word, Excel, PowerPoint & Outlook)
- Ability to learn new systems, e.g., order fulfillment and customer database system.
- Detail oriented with good organizational and communications skills.
- Ability to work independently with limited supervision in a fast-paced environment.
- Ability to interact positively with Staff, members, and the .
Education & Experience:
High school diploma or general education degree (GED); or one-year job-related experience and/or training; or equivalent combination of education and experience.

Location: This position is onsite at the Al-Anon Family Group Headquarters, Inc. World Service Office in Virginia Beach, VA. Remote work is not an option.
