Job Description
We are seeking a dedicated and customer-oriented receptionist to join our dynamic team at our sign shop. This role is pivotal in ensuring that all our clients receive outstanding service from the moment they contact us. The receptionist will be the first point of contact for our clients, providing them with comprehensive support, creating quotes, and guiding them through our extensive range of materials and services. This position requires a detail-oriented individual with exceptional communication skills and a passion for Customer Service.
Key Responsibilities
- Customer Service Excellence: Serve as the first point of contact for all incoming calls and visitors. Offer prompt, friendly, and efficient Customer Service, ensuring all inquiries are handled with professionalism.
- Knowledge of Products and Services: Acquire a thorough understanding of all the materials and products offered by our shop. This includes staying updated on new products and services to accurately inform and advise customers.
- Quote Creation: Utilize provided pricing tools and guidelines to create accurate quotes for customers. Ensure that all quotes are prepared and communicated in a timely manner, reflecting the customers' specifications and needs.
- Administrative Support: Perform various administrative tasks including, but not limited to, scheduling appointments, managing emails, and maintaining records of customer interactions and transactions.
- Collaboration and Teamwork: Work closely with the sales and production teams to ensure a seamless workflow and high level of service throughout the customer's experience.
Requirements
- Proven Experience in Customer Service: Previous experience in a Customer Service role is preferred. Experience in a receptionist role or similar is highly advantageous.
- Excellent Communication Skills: Strong verbal and written communication skills are essential. Must be able to communicate effectively with clients and team members.
- Learning Agility: Must be willing and able to quickly learn about the various materials and services offered by the shop. A keen interest in the sign industry is a plus.
- Computer Literacy: Proficiency in basic computer applications (e.g., Word, Excel, Email) and the ability to learn and use industry-specific software for quote creation.
- Organizational Skills: Strong organizational and multitasking abilities. Must be able to manage multiple inquiries and tasks efficiently without compromising quality.
- High School Diploma or Equivalent: Further education or certifications related to Customer Service, administration, or the sign industry will be considered an advantage.
