Summary
The Office of Medical Student Education (OMSE) at the University of Michigan Medical School is seeking a Curriculum Project Coordinator to support several functions in our Curriculum Services office. The coordinator will be responsible for administering course support for the Branches phase (3rd and 4th year students), coordinating curriculum databases and reporting, project support for curricular meetings, and administrative partnership to the Assistant Dean for Early Medical Education and the Assistant Dean for Clinical Medical Education. Responsibilities*
1) Support the Assistant Dean for Clinical Medical Education
  • Manage meeting requests and conference attendance for the Assistant Dean, coordinating with departmental clinical responsibilities.
  • Collaborate with Assistant Dean to operationalize Medical Student Performance Evaluation, including one-on-one meetings and generating final letters.
  • Ensure preparation for all meetings, assist with organization and distribution of meeting materials.
  • Assist with special projects and scholarship initiatives, performing literature reviews and working with Taubman Health Science Library Informationists.

2) Support the Assistant Dean for Early Medical Education
  • Manage large scale meeting requests, coordinating with research and clinical responsibilities.
  • Assist in the development of standard phase materials using PowerPoint and Microsoft 365.
  • Collaborate with Assistant Dean to operationalize Medical Student Performance Evaluation, including one-on-one meetings with generating final letters.
  • Use assistive technology to record, summarize, and distribute curricular meeting minutes.

3) Curriculum Committee Coordination
  • Plan, coordinate, execute, and support Office of Medical Student Education curriculum meetings. Work with Director of Curriculum and faculty chair to plan meeting agendas, execute all tasks related to the meeting, interface with multiple teaching and student service faculty/staff, and track assignments/follow-up items. Maintain DropBox folders and manage committee member access to folder.
  • Work with Director of Curriculum to document reports, policies and procedures, ensuring standardization and routine evaluation.
  • Assist in the development of spreadsheets, reports, and presentations for curriculum meetings.
  • Use assistive technology to record, summarize, distribute curricular meeting minutes, and identify/follow-up on action items.

4) Curricular Administrative Support.
  • Provide coordination and planning for courses in the Branches, including Branch Launch and Residency Preparation.
  • Track and report student activity such as assignment completion, required attendance, etc. Distribute course and phase materials (e.g. badge backers).
  • Set-up and administer course materials, general course communication, and assignments using Canvas and/or DropBox.
  • Update and maintain a variety of shared program documents in protected file storage systems (Sharepoint, Google, etc.).
  • Review and edit instructional material, coordinate implementation and distribution with respective faculty members.
  • Plan curricular events and arrange logistics (e.g. schedule rooms, plan A/V, order food).
  • Document and reconcile expenses.
  • Order programmatic supplies.

Required Qualifications*
  1. Bachelor's degree or equivalent combination of education and work experience.
  2. Three-to-five years of job-related experience.
  3. Polished organizational skills and an ability to manage competing priorities.
  4. Adept at handling multiple needs from multiple people while meeting short- and long-term deadlines.
  5. Strong interpersonal and communication skills with faculty, students, directors, deans, and the public.
  6. Experience with using Google applications (e.g. docs, forms), Microsoft 365 and other online learning platforms such as Canvas and DropBox.
  7. Good at setting priorities; maintaining confidentiality; detail oriented; solution focused; working efficiently and effectively in a rapidly changing environment.
  8. Ability to present information to solve and process problems independently.
  9. Proactive and adaptable; solution and team oriented; faculty/student centered.

Additional Information
The Office of Medical Student Education operates in a hybrid work environment consisting of both in-person and remote work. This position will be classified as a flex position. Onboarding and training will primarily take place in-person. Thereafter, the selected staff member will work remotely 3-4 days/week and onsite 1-2 days week. Staff are provided with a monitor, laptop, and related accessories. Office equipment such as a desk, chair, and printer are not provided for remote work. Staff must supply their own reliable internet access. Basic supplies, such as paper and pens, are stocked at the business location and are available for staff to pick-up should they require these to complete their work.
This position is periodically required to move boxes and supplies weighing up to 20 lbs while utilizing proper safety techniques.
Background Screening
Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
