SUMMARY
Coordinates scheduling of all dependency matters. Assists Dependency Hearing Master in preparing court orders prior to/during/after court proceedings. Oversees dependency case flow management and information/technology management so matters are scheduled accurately and efficiently. Assists Deputy Court Administrator – Criminal – in criminal case processing, specifically: effective case flow management and information/technology management as pertains to all criminal division scheduling.
The position also involves the daily use of our computer database and scheduling platform, CPCMS (Common Pleas Case Management System), to both research case information and schedule hearings. Working knowledge of Microsoft Office programs is also required. This position requires the exercise of independent judgment and discretion, an ability to work effectively as part of a team, and is of substantial importance to the operation of the Court.
The job requires working with criminal justice participants in the explanation of various forms and criminal justice processes and the handling of telephone inquiries from the public, defendants, and attorneys regarding the scheduling of dependency and criminal matters.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Scheduling of dependency matters, which includes the entry of the hearing into CPCMS and the creation and distribution of scheduling notices by email and first class mail. EXTENSIVE and DETAILED inventory reviews precede and follow scheduled hearings. Periodic reviews are to be conducted to ensure proper case flow of dependency matters;
- Assists Dependency Hearing Master in preparing court orders prior to/during/after court proceedings;
- Dispositions are recorded in the computer (CPCMS) and statistical reports are prepared;
- Assists in Criminal Scheduling and periodic reviews. Assists the Criminal Deputy Court Administrator in the scheduling and review of all other criminal matters, including: formal arraignment, pre-trial conferences, miscellaneous hearings, and trial lists;
- Communication with stakeholders in dependency and criminal courts is required on a case-by-case basis and/or periodically to ensure proper case flow management;
- In-person, telephonic and/or written communication with members of the public – e.g.: attorneys, defendants, and other interested parties – is required. Communication must be professional and information imparted must be accurate, non-confidential, and non-advisory;
- Perform other duties/tasks as assigned by the Court Administrator, Criminal Deputy Court Administrator, or Criminal 2nd Deputy Court Administrator.
