Summary

The Credentialing Specialist (CS) is an administrative position that facilitates students' clinical placements at affiliated facilities/health systems by collecting, storing and managing all required documentation for the onboarding processes, as outlined in guidelines set by affiliated clinical facilities/health systems. Serving as the liaison between the College and the various clinical placement partners, this position requires communication with various parties (clinical placements/health systems, department chairs, and students) and therefore requires exceptional customer service, communication, reliability, and commitment to quality. The CS must be able to work independently to ensure ongoing compliance with current guidelines and university policies for student data use and storage. The CS provides integral support to the College's operations by enabling timely placement, onboarding, and successful completion of our student's clinical experiences while maintaining mutually beneficial business and educational relationships with our clinical placement affiliates. This position is a shared position to support the Departments of Nurse Anesthesia and Radiation Sciences.

Typical Duties

  • Follows guidelines set by affiliated clinical facilities/health systems credentialing applications and university policies for collecting, sharing, and storing of student documentation (e.g. immunizations, life support certification, drug screening, criminal background checks, and facility documentation, etc.)
  • Oversees application processing and primary source verification processes that comply with all applicable regulatory standards
  • Processes applications timely and ensures that quality benchmarks are met concerning turnaround times and accuracy of information 
  • Executes clinical onboarding application and data collection, application processing, and primary source verification for all new and renewal applications to ensure applications are correct and complete
  • Ensures timely and appropriate responses, follow-ups, and process management with affiliated health system partners regarding students' clinical assignments
  • Review incoming and outgoing materials for completeness, dates, and signatures. Demonstrates leadership identifying and resolving any discrepancies/missing information in compliance with all applicable regulatory standards  
  • Prepares, organizes, and maintains student files and databases (both electronic and paper) to ensure accuracy and completeness
  • Maintains student clinical attendance records and communicate student attendance to appropriate parties per department policies
  • Assists with any ongoing/routine reviews and site visit accreditations for departments, assuring files and documents are ready for supervising faculty and clinical site staff review
  • Coordinates required department and clinical onboarding training, e.g. EPIC, Typhon, and EValue
  • Manages issues related to a student's placement and provides accurate reports and timely resolutions between students, clinical sites and other external parties.  Conducts follow-ups with students and clinical placement staff when needed
  • Monitors and assesses changes in University policies and State regulations to ensure the credentialing process remains in compliance
  • Maintains a strong respect for the privacy and confidentiality of all student and clinical site information
  • Maintains professional communication with both internal and external stakeholders 
  • Performs data entry and management for relevant documentation platforms (portals), such as Castlebranch
  • Liaises with HR, department chairs, clinical site partners, and other external contacts regarding clinical placements for students. This includes the acquisition of required ID badges, locker access, etc. 
  • Assesses and provides recommendations to the Associate Dean for Academic Affairs and Student Success on improvements for the clinical placement process
  • Orders and distributes student uniforms and clinical equipment/supplies
  • Manages time-sensitive matters that require problem-solving and confidentiality
  • Provides a friendly, positive, customer service-oriented presence in the office
  • Assists with other administrative duties or special projects as assigned 

Education Requirements

  • High School Diploma or GED (required)

Required Qualifications

  • 1+ years of administrative experience
  • Excellent computer skills
  • Proficiency with Microsoft Office Applications (Word, Powerpoint, Excel)
  • Excellent Written and Verbal Professional Communication Skills 
  • Vital customer service and interpersonal skills
  • Ability to manage multiple projects simultaneously, and prioritize tasks based on competing deadlines and needs
  • Ability to exercise sound judgment in making administrative decisions with minimum supervision, using independent critical thinking and problem-solving skills to anticipate and meet the needs of departments
  • Ability to work either as part of a team or independently, depending on the day-to-day needs of the department
  • Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU

Preferred Qualifications

  • Bachelor's Degree in Business, Healthcare or other related field 
  • Experience in healthcare credentialing (12 months or more)
  • Experience with Google Suite 
  • Certified Professional Medical Staff Management (CPMSM) or Certified Professional Credentials Specialist (CPCS) by the National Association of Medical Staff Services (NAMSS)
  • Previous work experience with significant progressively complex responsibilities in a university environment

Salary Range: Starting at $40,000, commensurate with experience
