Job Description:
We are currently looking to hire a highly motivated individual to support the RSES (Research, Science, and Engineering Services) program management office located at the NASA Langley Research Center (LaRC). The candidate will provide administrative support to the RSES Program Management Office to include credential management, foreign & domestic travel support, and monthly reporting. The candidate will be required to work with NASA security to support Badge and Pass operations and will work alongside the AMA senior managers to help process RSES contract reports and the RSES travel office to help process travel.
The successful candidate will provide HSPD-12/SMART ID credential administration and support to NASA Security and Badge and Pass operations by performing the following tasks:

  • Working with the RSES Program Office, AMA's Human Resources department and NASA points of contacts to obtain the information needed to process all newly hired employees and subcontractors, including Foreign Nationals in the IDMAX system
  • Support appointment activities in the NASA Badge and Pass Scheduler
  • Track and schedule HSPD-12/SMART ID enrollments, updates, PIN resets, and activations.
  • Collect, process, and return HSPD-12/SMART ID cards to NASA Badge and Bass Office upon employee/subcontractor termination
  • Initiate NAMS Requests for existing and new employees and subcontractors.
  • Facilitate computer requests for new subcontractors through the NASA IT Point of Contact (POC).
  • Perform check-out procedures in the NASA Check-Out system
  • Monitor incomplete NASA required training and facilitate completion of trainings
  • Prepare and manage the RSES contract Security Technology Transfer Control Plans (STTCPs).
  • Assist with NASA Foreign Travel Requests in accordance with NASA/AMA Foreign Travel process requirements
  • Become proficient with the AMA Report Tool (ART) to support monthly report processing
  • Assist in the verification that all submitted reports are formatted correctly
  • Provide review for clarity, flow, organization, consistency and to ensure proper usage of formatting, grammar, punctuation, spelling, and capitalization
Required Qualifications:
  • High school diploma with a minimum of 5 years related of experience (prior experience in government contracting industry required)
  • Familiarity with the Office of Federal Contracts Compliance Programs (OFCCP) regulations
  • Proficient user of Microsoft Excel, Outlook, and Word
  • Experience with managing and using data in multiple sources and coordinating with stakeholders within the same organization and outside the organization
  • Ability to support multiple objectives at the same time and track own work and provide status updates to stakeholders
  • Ability to set priorities and meet deadlines
  • Good English grammar and spelling skills
  • Ability to multitask
  • Must be a motivated self-starter with strong customer service attitude and the ability to assist and support others in a timely manner
  • Office Management experience is essential with strong attention to detail and sense of urgency to complete necessary time-sensitive tasks
  • Strong communication skills both oral and written and the ability to handle sensitive and confidential situations with poise and common sense
  • Must be tactful, diplomatic and possess the ability to communicate with individuals at all levels of an organization and with demanding personalities
Preferred Qualifications:
  • Associates degree or higher
  • Have knowledge of HSPD-12 directive
  • Experience using the NASA IDMAX program
  • Excellent communication skills
  • Self-starter who can work independently or as part of a team
  • Technical editing and writing skills
  • Ability to work with stakeholders in a hybrid environment

Must be a U.S. Citizen or Permanent Resident due to facility requirements. The selected applicant will be subject to a security investigation and employment is based on the ability to attain minimum background investigation clearance and physical and logical access to NASA LaRC.
