We are looking for someone with high level Executive Assistant experience to help keep our CEO on track, organized, and focused on the right things.

THIS IS A HYBRID POSITION. You must live in Atlanta and be willing to work in person for live events and content recording days.

We’re a small, 4-person team based in Union City, Ga -- but we work with clients from all around the world who are looking to grow their business.

Precious Stevens also known as “The Draping Queen” is a draping instructor, business consultant, and public speaker who trains event professionals the art of premium draping.

Your Job #1 As Our Executive Assistant:
The primary responsibility of the Executive Assistant is to help us more effectively manage the CEO’s day to day, making her life much easier, which will help the whole team focus on our mission as a company. That mission is to help creative entrepreneurs in the events industry who want to make more money and are committed to business development.

We need you to bring your organizational savvy, attention to detail, and both experience with and commitment to nurturing and supporting a high level and incredibly scheduled creator, activist, and executive. We need you to create the processes and systems to manage our CEO’s calendar, logistics, travel, and inbox and bring your own genius.

How can you help make her life easier, protect her time, and reduce the fluff from her to-do list? We have amazing opportunities begging to be taken, but we’re missing the support that will allow Precious to show up primed, prepped, and poppin’. Can you keep unnecessary items off her plate, prioritize her to-do list, and turn tactical assignments into documented processes that can be handed off? We want someone who’s available, highly skilled, and passionate about what they do.

Key Responsibilities:

Please understand that many times you will be the first point of contact to the public. Must be a positive, creative and upbeat individual. You are in charge of making the day-to-day operations run smoothly. Your skillset requires that you are able to thrive in a fast-paced environment. Accuracy is key. Your job will be to ensure that all interactions between the organization and others are efficient, positive, and productive.

Job Duties/Expectations:

EMAIL MANAGEMENT

  • CEO’s inbox
  • Email campaign in Kartra

TRAVEL BOOKING

  • Booking hotels, flights, rental cars, tour locations
  • Documenting the applicable process/preferences

CALENDAR MANAGEMENT

  • Proofing the CEO’s calendar weekly (verifying appointments, time, checking links, etc.)
  • Protecting the calendar and creating efficiencies and processes around scheduling to ensure the CEO is spending her time doing only CEO tasks

SPEAKING OPPORTUNITIES

  • Researching speaking opportunities (podcasts, summits, meetings, stages) and which ones are appropriate to pursue
  • Creating submission forms for speaking opportunities
  • Seeking local networking opportunities or events to attend

COMMUNICATION

  • Handling calls; texts and voicemail
  • Moderating webinars, and providing technical support during virtual events
  • Making purchases
  • Research/Fact finding

IN-PERSON SUPPORT

  • Attend events with the CEO to record content clips and or seek networking opportunities at event
  • Attend CEO live events to assist with setup/ record content and setup

EXECUTIVE SUPPORT

  • Reviewing the CEO’s time, suggesting efficiencies, and identifying items to take over from CEO
  • Learning the preferences and way of thinking of the CEO
  • Understanding CEO triggers, through process and opinions
  • Understanding the limitations of the CEO and developing solutions around those limitations
  • Project Management Assistance
  • Acting as a sounding board for the CEO

  • Manage company’s digital files in a crisp manner

RESULTS

  • The CEO feels supported—she knows when to be where, what she needs to do to be successful and is never overscheduled.
  • The team has a consistent and predictable experience with the CEO and the CEO with the team.
  • The CEO is able to focus on strategic efforts, rather than tactical ones.
  • Make suggestions then work with the team to implement corrections to gaps in the department.
  • Your primary responsibility will be to show up 100% and be fully present and handling every aspect of the CEO's needs.

REQUIREMENTS

As we’re looking for an ideal fit, our new Executive Assistant will likely possess what we’ve listed below:

  • At least two years of experience as an executive or personal assistant
  • High-level communication skills
  • Emotionally self-regulate even during times of pressure and stress to be present for the team and the CEO.
  • Able to consistently understand the intent and vision of the CEO, work as a sounding board for the CEO.
  • Ability to set goals and develop achievable timelines to hit them.
  • Highly developed self-awareness and leadership skills.
  • You will work to decrease the noise of the CEO and be her barrier.
  • You don’t have a problem handling personal tasks.
  • Ability to travel with the CEO, as needed.
  • Highly organized and efficient.
  • Detail-oriented.
  • Computer proficiency.
  • Delivers well ahead of deadlines.
  • You both love working with teams and being left alone so you can produce results.
  • You’re a problem solver and think ahead to ensure any challenges don’t greatly impact project progress or outcomes.
  • You love operating in a fast moving environment and adhere to deadlines while producing high quality work every time.
  • Passion for working with others (being collaborative) and helping our team members grow and learn.
