Position Overview
Provides first point of contact for members and guests. Provides information regarding club events and activities. Provides support to the Administration Office. Answers, directs and screens incoming calls and visitors to the Clubhouse in a courteous manner.
Essential Duties & Responsibilities:
- Answers, directs and screens all incoming calls and visitors.
- Responsible for appearance of Clubhouse lobby.
- Responsible for retrieving messages from main phone and dispersing messages as needed.
- Perform general office duties and assist the club personnel as needed.
- Assembles information for the new member packets.
- Advises Maintenance and/or person responsible for alarms and security calls.
- Take dinner reservations and allot seating for Dining Rooms.
- Take reservations for special events and keep Clubhouse Manager apprised of numbers.
- Ensure reservation book is accurate for all events and dining.
- Be informed of all upcoming events and keep marketing materials updated as needed.
Knowledge, Skills, and Abilities:
- Must have excellent customer service skills and communication skills, both verbal and written.
- Ability to work under tight time constraints, handle sensitive data, and multi-task so that deadlines can be met.
- Highly organized and able to prioritize and manage time efficiently with the ability to handle stress in a fast-paced, deadline-driven environment.
- Excellent knowledge of administrative and clerical procedures.
- Must have knowledge of computers and relevant software applications, Microsoft package.
- Must always maintain a professional appearance.
Credentials and Experience
- High school diploma required with some secondary education preferred.
- Minimum of one year of administrative experience working in a professional office environment.
- Minimum of one year of professional customer service experience.
