Job description

Weyerhaeuser is looking for a detail-oriented and organized Corporate Real Estate Lease Administrator to join our team. This position works directly with the Senior Real Estate Manager. The Corporate Real Estate department oversees all aspects of the company's non-timberland owned and leased Real Estate portfolio. The Lease Administrator position maintains and updates all lease activity; from abstraction of new and renewal leases, rent inputs and coordination of payments, operating expense reconciliations, and invoice processing. This position also coordinates property management of assets held for sale. As the Lease Administrator, you will be a point of contact for both landlords and our internal clients. You will be responsible for managing the lease renewal process directly with landlords and negotiating new leases as directed by the Senior Real Estate Manager. You will also work closely with other corporate functions, such as accounting, legal, and tax, to ensure all aspects of Corporate Real Estate meet company policies.
To be successful in this role, you should have a strong background in commercial Real Estate leasing practices and principles and lease accounting, with knowledge of lease terms, clauses, and regulations. You should also have strong analytical, communication, and problem-solving skills, as well as the ability to work independently and under pressure. You should also be proficient in using various software tools, such as Microsoft Office and lease databases.
Responsibilities:

  • Manage and administer new and renewing Real Estate agreements, including negotiating with landlords, database entry, and payment setup.
  • Direct process with accounting to facilitate accurate rent payments, invoices, and reconciliations.
  • Partner with business and function leaders to develop lease strategies and ensure compliance with lease terms.
  • Monitor and track critical lease dates, such as rent commencement, expiration, renewal and termination options, rent escalations, etc
  • Provide research for leased and owned properties including assessments, market data, building conditions, utilizing public databases and internal documents.
  • Administer income leases / subleases - review subleases for pertinent information, subtenant invoicing for pass-thru costs, collecting income, send out notices on unpaid balances, account reconciliation of AR account, aging reports.
  • Coordinate with Real Estate manager to ensure compliance with lease terms and conditions.
  • Work with external brokers and Real Estate manager on various aspects of property transactions
  • Generate lease and ad hoc reports as requested and maintain and update lease files and records.
  • Manage all vendor and accounting information necessary for property records.
  • Oversight, process, and payment of one-time or annual rent invoices and Real Estate taxes, and annual CAM reconciliations
  • Transfer of and assist in management of properties held for sale.
  • Identify impacted assets, determine current values, identify, transfer, and manage all continuing vendors, and at closing terminate / transfer remaining services.
  • Develop financial analysis and budget packages for lease option comparison and approvals.
  • Drive continuous improvement efforts in use of Costar platform and internal processes.
  • Assist with special projects and other duties as assigned.

Qualifications
  • Bachelor's degree in business administration, Real Estate, or related field preferred
  • Ability to travel up to 5-10% per year.
  • Minimum of three years' experience in lease administration and lease accounting
  • Knowledge of commercial Real Estate leasing principles, practices, and terminology
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Teams)
  • Proficiency in CoStar or similar lease administration / management software
  • Excellent verbal and written communication skills
  • Excellent organizational and time management skills
  • Excellent attention to detail and accuracy
  • Excellent analytical and problem-solving skills
  • Ability to work independently and as part of a team.
  • Ability to work under pressure and meet deadlines.
What We Offer:
Compensation: This role is eligible for our annual merit-increase program, and we are targeting a salary range of $64,900-$97,400 based on your level of skills, qualifications and experience. You will also be eligible for our Annual Incentive Program, which offers a cash bonus targeting 5% of base pay. Potential plan funding may range from zero to two times that target.

Paid Time Off or Vacation: We provide eligible employees who are scheduled to work 25 hours or more per week with paid vacation for up to 3 weeks to use during your first year of employment. In addition, after being employed for six months, eligible employees begin to accrue vacation for future use. We also recognize eleven paid holidays per year, providing a total of 88 hours along with paid parental leave for all full time employees.
