Job Description

The Corporate Real Estate Associate would provide independent, effective, high-quality facilities and technical support services to the Bank’s office locations. Develop, maintain, administer and monitor the Bank’s facilities infrastructure and office space for three office locations.
Exhibit the traits, actions, and activities aligned with advanced customer service skills that help establish and maintain partnership with our customers and create an excellent customer experience. Be proactive with customers by engaging in daily/weekly meetings to discuss issues, planned events and ways that the Corporate Real Estate team can support the department. Exhibit exemplary problem-solving skills and work with customers to help identify, analyze, and resolve issues, and develop methods to help prevent recurring issues in the future.

Facilities Management

  • Work independently to help ensure that the Bank’s office space in New York, New Jersey and Washington, DC are operational, clean, comfortable, and secure so that employees can be effective in executing the Bank’s business with minimal interruptions.
  • Execute maintenance and replacement plans.
  • Execute on service schedule for facility infrastructure which includes physical security, HVAC, multi-function printers and equipment to minimize down-time.
  • Process invoices for goods and services on a timely and efficient manner.
  • Serve as a liaison with the Bank's building security, cleaning, and engineering team.
  • Maintain general condition of meeting rooms and set-up, ,.
  • Maintain and manage the Bank’s storage space including inventory of stored items.
  • Monitor the space for facility related issues and address areas that need attention and/or require maintenance.
  • Maintain records of facility repairs, service calls and vendor deliveries.
  • Execute all tasks related to internal moves, adds and changes and preparation of new space (i.e., moving furniture, office equipment, hanging pictures/writing boards, etc.) and other items as required.
  • Manage the maintenance of the Bank's leased vehicles.
  • Assist with resolving office furniture related issues including power, cabling, or repairs and cleaning.
  • Maintain assigned space plans and prepare requested floor plans for moves and changes.
  • Manage the Bank’s post office permits and ensure adequate funds are available at all times.
  • Sort incoming mail for pickup in the Facilities Service Center, log all incoming packages and reach out to recipient for pickup.

Physical Security

  • Perform security system functions, as required (i.e. adding & deleting and changing status levels as required access) to the Bank’s premises for employee, consultants and other guests etc.,).
  • Manage and execute all necessary functions for on-boarding new hires, /termination of employment, /employee transfers, etc. (includes but not limited to card access, Building ID, workstation, seating arrangements, floor plan updates, etc.).

Procurement and Outreach

  • Monitor contractual obligations at the New York and New Jersey offices (i.e. Vehicle Lease, and environment equipment lease and maintenance contracts, cleaning contractors, office supplies, etc.).
  • Follow-up on outstanding receivables.
  • Process receiving function using the Bank’s Lawson purchasing system
  • Processing invoices.
  • Provide assigned product and service information, pricing, and analysis as required.
  • Maintain departmental files, record schedules, digital files on the network and departmental drives and folders.
  • Support executive area during Board of Director and other special meetings.
  • Prepare memorandums and communications for justifications, analysis, and announcements to employees as needed.
  • Perform all other tasks as required by the position.
  • Regular contact with Bank management and employees.
  • Regular contact with vendors, building management, service providers, and general business community.
