The Corporate Events Manager serves as the key strategist and lead for execution of all internal Corporate Events, both virtual and in-person. This individual uses their skills in negotiation, contract development, and event planning and execution to create memorable experiences that reflect and amplify the heart of our firm: its people, its goals, its aspirations, and its plans for the future.

What you’ll be doing:
The Corporate Events Manager’s will collaborate with the Internal Communications Director to plan effective internal events for the firm and lead their execution, as well as own the firm’s travel management and expense reporting system. Primary responsibilities include:
- Planning, designing, and producing Corporate Events while managing all project delivery elements within time and budget limits. This includes collaboration with the Internal Communications Director on event budgeting, development of event agendas, and creation of event execution plans.
- Liaising with internal clients to identify their needs and ensure events are engaging, encourage learning and information sharing, and meet all internal client objectives.
- Sourcing event locations that meet internal client needs and align with event budgets.
- Securing contracts with hotels, AV providers, DMCs, vendors, and other service providers, ensuring legal and financial compliance. Conduct market research, gather information, and negotiate contracts prior to closing any deals.
- Coordinating all event logistics, including attendees, speakers, equipment, and travel arrangements.
- Overseeing the execution of virtual, in-person, and hybrid events, ensuring a seamless experience for all participants – including management of event set-up, tear-down, and follow-ups.
- In partnership with the Finance Team and other Operations Teams, own and develop controls, processes, and software for travel management and expense reporting, including travel booking and expense management components.
- Supervising the Internal Communications Administrative Specialist, who currently manages event registration, travel support, project management tracking, and other event-related administrative activities as part of her role.
- Overseeing support for employee travel requests, including flight booking and hotel procurement for individual team members who need support.
- Providing support for smaller internal meetings, including helping team leaders to secure meeting space and contract food & beverage.
- Providing feedback and periodic reports to Internal Communications Director and firm executive leadership.
- Proposing ideas to improve services and event quality.
- Ensuring compliance with insurance, legal, health, and safety obligations.
- Specifying staff requirements for events support and coordinating their activities.
- Proactively handling any arising issues and troubleshooting any emerging problems that occur during events.
What you’ll need for this position:
- Proven success as an Events Manager with a minimum of 7 years of experience.
- Strong experience in virtual event planning and facilitation.
- Experience in planning and managing large scale in-person events for up to 1,000 participants.
- Experience leading implementation and use of travel management platforms that offer travel booking and expense management capabilities.
- Superior written and verbal communication skills.
- Ability to learn new systems quickly with an enthusiasm to embrace technology.
- Strong project management and organization skills.
- Willingness to try new things and push the boundaries of the “comfort zone”; constant seeking to level up skills.
- Proven flexibility and attention to detail – accurately executing timely tasks while working collaboratively, juggling many competing priorities and overlapping timelines.
- Track record of high confidentiality, successful relationships, and building trust.
- Desire to work as part of a close-knit and highly integrated team.
- Expertise with event management software and virtual event platforms. Proficiency with Microsoft Office Suite and project management tools such as Monday.com. Knowledge of limited-use onsite engagement tools such as Conferences i/o, Kahoot!, Slido, or others a plus.
- Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or a related field – or equivalent experience.
- Certified Meeting Professional (CMP) or equivalent meeting planning certification highly preferred.
