Position Summary:

The Corporate Events Manager is a full-time position responsible for overseeing the Corporate Events Team, Collette corporate and marketing events, including partnership, sales, press and product launch events. Works closely with Product, Marketing, Sales, and other departments to understand the purpose, size, and scale of the event. Liaise with vendors to secure the lowest costs possible and communicate with all stakeholders as needed.

Primary Functions:

  • Work with Product, Sales and Marketing departments on site selection and itinerary for each event while considering necessary outcomes, design, cooperative marketing contributions and budget. Manages event expense forecast and ensures event stays within outlined budget and maintain master calendars of all special event activities.
  • Responsible for obtaining a completed event RFP from the appropriate event sponsor for each major corporate event up front and ensuring that accurate details are fully communicated to responsible departments to ensure the success of the program. Coordinate and lead ongoing meetings with event sponsor and other relevant parties to provide updates and discuss the detailed event criteria, including budget tracking/reporting, potential challenges, confirmations of included items: (hotels, meals, transportation, meeting space, itinerary, etc.) for approval and acceptance.
  • In collaboration with the Global Contracting team, responsible for confirming services and negotiating rate and complimentary items with event suppliers including hotel, restaurant, coach, DMC, and attraction vendors. Ensure all contracts are signed, finalized, and built in appropriate Contract system.
  • Responsible for creation of the event itinerary in collaboration with the Product Design team. Ensure all services are confirmed, finalize, and build the program in appropriate tour building system. Performs final proof of all tour builds/pricing bundles for events for accuracy of vendors, dates, times, and flow of tour series. Proof itineraries/travel tips/tour summaries and any other related documentation for their respective tour products.
  • Responsible as main point of contact and facilitator of all communication to departments such as air, documents, inventory, pricing, and operations. Responsible for submission of any necessary BEO’s, guest counts, service timings and special requests to event vendors.
  • Attend event as appropriate as the lead event point person and perform post-event review to determine cost drivers, identify quality issues and potential improvements. Identify quality benchmarks and report meaningful results.
  • Develop, maintain, and train on all processes and procedures related to Corporate Events.
  • Supervise Specialized Travel Associate role and all specialized travel programs including press and prize winner promotional trips and employee incentive trips.

Knowledge and Skills:

  • 3-5 Years of professional experience in event management, 1 - 2 years negotiation and contracting experience preferred.
  • Experience managing a team of event professionals.
  • Must be detailed oriented and able to multi-task.
  • Ability to manage full scale projects.
  • Strong verbal and written communication skills
  • Ability to travel domestically and internationally as needed.

Starting Annual Salary: $70,000 - $100,000

Job Type: Full-time

Pay: $70,000.00 - $100,000.00 per year
